Important HR Deadlines Important HR DeadlinesMarch 31, 2014 • HR must receive HRMS documents for employment

related actions (reclassification, new positions, salary increases, etc) for an April 1 through April 30 effective date

• Next effective date is June (can’t retro)

April 14 • Last start date prior to go-live for benefits eligible employees (faculty, staff, and students)

April 25, 2014 • Last start date • for any internal transfers (within UTSA) for benefits eligible employees

AND/OR•ANY non benefits eligible employees

April 29, 2014 • All reconciliation of time into DEFINE ETA module MUST BE completed for month of April by this date.• This will result in a significant workload for your time administrators.

April 30, 2014 • HRMS Appointments MUST be final approved by close of business• Retroactive appointments or assignments with salary increases are not allowed by the state (will not be approved). • Next effective date will be June 1, 2014

May 1 through May 31, 2014

• Freeze on any hiring during the month of May. • Continue to recruit; however, no start dates in May. • Cannot hire with retro-active start date in the month of May

Encourage staff to stay informed Watch for additional communication

» Critical Deadlines» Memo regarding March 31, deadline for classification requests AND May hiring freeze (this week)» Calendar of all HR important dates (next week)

Attend Training

Critical staff should be available to address resolution of issues (week of April 28)

Plan ahead (appointments, hiring, etc)
