BOOKING TERMS & CONDITIONS
TENTATIVE BOOKING
A Tentative Booking will be held for 14 days and will be automatically cancelled unless an
extension is requested.
CONFIRMATION OF BOOKING
A signed copy of these terms and conditions together with your deposit of $2000.00 is to be returned
within 14 days to secure your booking. Confirmation cannot be assumed until the terms & conditions
and deposit has been returned.
MINIMUM SPENDS
PALM ROOM $6000.00
PLYMPTON ROOM $8500.00
ROOFTOP TERRACE $10000.00
PAYMENT
In addition to your deposit payment, a further payment of 50% of the estimated total is due 8 weeks
prior to your Wedding.
The final payment is due when final numbers are confirmed, 7 days prior to your Wedding.
Payment of your account can be settled by cash, bank cheque or credit card. A 1.5% surcharge is
applicable on payment by Visa or Mastercard and AMEX & Diners cards will incur a surcharge of 3%. In
the event of default the Debtor agrees to pay costs incurred for the recovery of debts.
CANCELLATION OF CONFIRMED BOOKINGS
In the event of a cancellation, the client must provide written notice to Tradewinds Hotel.
Any initial deposits are non-refundable and are non-transferable. The Tradewinds Hotel reserves the
right to charge a cancellation fee as per below.
6 Months Notice 25% of estimated total
2 Months Notice 50% of the estimated total
1 Months Notice 100% of the estimated total
FINAL CONFIRMATION AND ARRANGEMENTS
You are required to finalise arrangements by personal appointment with the Tradewinds Hotel no less
than 8 weeks prior to the Event.
Final numbers are required 7 days prior to your event. Any decrease over 10% from the initial
confirmed guest numbers will incur a cancellation fee of 50% based on the confirmed price. Any
amendments with less the 72 working hours notice will incur a 100% cancellation fee based on the
confirmed price.
FOOD & BEVERAGE
No food or beverage may be bought into the Hotel for any event without prior approval of the
Tradewinds Hotel.
All Food & Beverage Menus and items are subject to availability and change. Due to seasonal, yearly
changes and unforeseen circumstances, menu’s cannot be guaranteed.
8 WEEK REVIEW
An onsite meeting will be arranged with the client 8 weeks prior to their Wedding. All details including
Menu Choices, Supplier Information and event details will be required
FINAL MEETING
An onsite meeting will be arranged with the client 1 week prior to their Wedding. This
Meeting will be during normal business hours, Monday to Friday unless otherwise organised. All items
required to be setup by the Tradewinds Hotel will need to be delivered on this day in boxes suitable for
safe storage.
DELIVERY AND STORAGE OF MERCHANDISE
The Tradewinds Hotel is not responsible for providing personnel for this purpose. The storage of
materials or items for your event is subject to the availability of space and must be requested in
advance. The Hotel will take all necessary care, but accepts no responsibility for damage or loss of
merchandise left in the Hotel prior, during or after events. All items must be removed immediately
following each event.
PRICE ADJUSTMENTS
The Tradewinds Hotel reserves the right to increase quoted rates and prices as required should the
official of Goods & Services Tax increase. A 25% surcharge applies to the total value of all functions
booked on a Public Holiday.
CEREMONY VENUE
The Tradewinds Hotel allows use of Rose Petals and Bubbles. Unfortunately, artificial petals, rice and
confetti is not permitted.
Should the weather be inclement or unpredictable, a member of staff from the Hotel will make contact
with the client to move the Ceremony indoors. This decision must be made prior to 12pm on the day of
the Ceremony.
WEDDING CAKE
Wedding Cakes are to be made by an external supplier organised by the client. All Wedding Cakes are to
be delivered no earlier than 10am on the day of the Wedding and MUST be setup by the Supplier. The
Tradewinds Hotel will not store any Wedding Cakes in any fridge or cool room. Left-over cake must be
collected by the client on the day after the Wedding otherwise may be disposed of.
DAMAGE TO PROPERTY / ADDITIONAL CLEANING
Damage caused to property including linen, carpets, fixtures and fittings either indoor or outdoor will
be the financial responsibility of the client.
VENUE ALLOCATIONS
Management reserves the right to assign another room for the organised function in the event the
room originally booked for the function would become unavailable or deemed inappropriate.
RESPONSIBLE SERVICE OF ALCOHOL
The Tradewinds Hotel practices “Responsible service of alcohol” and in accordance with the liquor
license to this premises.
The Hotel reserves the right to refuse service (but not limited to):
- Persons who show signs of intoxication
- Persons suspected of being under the age of 18 years old
The Hotel has the right to remove the offending guest/s from the premises or close the bar entirely.
Gifts of alcohol presented to guests must remain sealed whilst on the premises.
ENTERTAINMENT
The Hotel reserves the right to monitor and control the noise level of all sources of entertainment
within the Tradewinds Hotel. The Tradewinds Hotel has the right to refuse any musical acts which are
deemed inappropriate for the venue. All live music is to be approved by management before booking.
Smoke machines are NOT allowed in any function rooms. We also ask patrons leaving the Hotel to do so
in an orderly & quiet manner, respecting that we are an accommodation Hotel.
ROOFTOP TERRACE
The Rooftop Terrace has a patron and noise curfew of 10pm. Additional Function space is available to
continue event at an additional cost.
SMOKING
Smoking is prohibited in any of the buildings. Outside facilities are available.
WEDDING ACCOMMODATION
To be eligible to receive discounted Accommodation Rates, the Wedding Reception must be held at
the Tradewinds Hotel. A 10% discount will be offered to all Wedding Guests with the use of an online
promotional booking code. A 24 hour Cancellation Policy is applicable to all Accommodation bookings.
Check in time is 2pm with Check out being 11am.
