WordFast – Inexpensive TRADOS Alternative By Junko Gilbert

What is WordFast? (1) Various Formats of WordFast (Classic & Pro under one license)

WordFast Classic – traditional format, works in Word WordFast Pro – new format, more like TRADOS WordFast Anywhere - new format WordFast Server - new

Computer-assisted translation tool or translation memory tool Compatible with TRADOS Costs (much) less than TRADOS Works with Word documents, Excel files, PowerPoint, and tagged files. WFC has its own alignment tools, etc. in a form of PlusTools Free trial software with no time limitation -- same functioning software as

the licensed software, with only size limitations (500 TUs max.)

<WordFast Classic> For WordFast Pro, go to page 7.

1. Download & Installation www.wordfast.com or www.wordfast.net Please download the software and the 2010 WFC manual (or WFP manual). Several free video training sessions are available. This is easier to

understand than the written manual. I strongly recommend that you go over these videos before you set up and work on WordFast. Click video learning under the support button in the main page.

Download the latest WordFast zip file. Extract (or unzip) the zip file. Open "WfReadMe.txt” for instructions on how to install the file. Basically, close MS Word and double-click “wordfast.dot” to automatically install WordFast. If it isn’t automatically installed, press CTRL+ALT+W.

I printed all the manuals (including the Plus Tools manual) and put them in a binder for easy reference.

WFP is suitable.

2. Set Up Your WordFast (新規 TM の作り方を実演する)

Open MS Word and Click the WordFast (or Setup) icon . Set up the Translation Memory (for specific language pair): xxx EJ.txt

You can open a translation memory in a TMX format. WF will automatically create a new TM with a TXT format.

Set up or open Glossaries: WF can use 3 glossaries at a time. Color-code the Glossaries using PB (Pandora’s box). I recommend this.

3. Start Translating Using WordFast (MS Word Document で実演する) Open a Word document. Rename it to something else (XXX EN-SP.doc).

Click the WordFast (or Setup) icon . The following WordFast icons appear: New menu icons (top) & old menu icon (bottom)

Place the cursor on the first sentence to be translated.

Click the Next icon. Type your translation in the lower box:

Exact (100% match) or similar (fuzzy match) in memory Green background

Similar (fuzzy match) translation in memory Yellow background

No match in memory Gray background

Want to add a term into a glossary? Highlight the source language term, and Alt+Ctrl+T. Then highlight the target language term, and Alt+Ctrl+T. Singular/plural: Use * (Complaint*)

Click the Next icon (or Alt+ ) to go to the next segment.

New menu icons Old menu icons

Changing translation in the past segment w/o opening WF sections TM won't be updated until cleaning up the document & updating TM at the end.

Terms in the glossaries are highlighted in the specified color. Use Alt+Ctrl+ / to go to the desired term. Alt+Ctrl+ to insert the corresponding term. Or use Alt+Ctrl+ Enter to check it out in the glossary.

If you want to see how a certain term has been translated in the past,

highlight the term and click the Context (search) icon (or Alt+Ctrl+C) to check the translation memory.

When finished translating the entire document, click the Next icon or End icon (or Alt+ End).

Save as often as you can. Set Microsoft Word to autosave every few minutes.

4. Editing Translation (例を使って説明する) Go back to the beginning of the document or wherever you want to

check/change.

Click the Next icon.

Make any change needed or click Next to go to the next segment. If there is a red box around the target text,

it is different from the 100% match TM in the memory. Use Alt+Ctrl+ M to show the TM. If the TM is correct, use Shift+Alt+ Insert to place the TM into the current target segment. If the

TM is incorrect, click Next (Alt+) or End

(Alt+End) to record this new translation in TM (and deleting the old TM). Use Alt+Ctrl+ M again to exit from this TM Display mode.

After making the necessary editing, click the Next icon to record the new TM unit.

If this does not fix the problem, use the Data Editor to change the TM.

5. Managing TM (TM の管理方法を説明する)

If you need to change TM, click the TM Editor icon (Ctrl+Alt+Mx2).

Use the Tools button (or F7) to activate filters, sorting, and search & replace features. Also use “Special Filters” to create a TM in a TMX format, or reverse the source and target languages, etc. These tools are also available for glossaries, too.

6. Cleaning Up Translation(翻訳が終了時のクリーンアップ) If you are done with editing/proofreading, save this file.

Click WordFast (or Setup) icon. Click [Tools], select the document to be cleaned up, and click [Clean-up]. If you want to update the TM, answer YES to the “update memory” question.

If, for some reason, you don’t want the TM updated, you can also use the Quick-Clean icon.

A clean-up report document will be made. (I usually ignore this. But you can use this for word count. Note: WordFast produces word count slightly different from Word.) Save the cleaned-up target document in a different name (XXX JP.doc).

You should go over the cleaned-up translation one more time for consistency in format, style, etc. before submitting to the client.

7. Using WordFast for Excel (PowerPoint or Access) (File PPT の例を説明) Start Excel (PPT or Access) and open a sheet (or file). Place the cursor in

the cell (slide or field) where the translation should start. Start MS Word and open an blank document.

Click the WordFast (or Setup) icon .

Click the Next icon. The source text (from Excel, PPT, or Access) will appear along with a target text box.

Follow the steps for MS Word document translation above. As you translate, the translation will replace the source text in the Excel,

PPT, or Access file. Make sure to double check the translation after clean-up. PowerPoint file is

known to have some sections missing after translation. 8. Using WordFast for HTML Files

WordFast can handle HTML, SGML, and XML files if you have the PlusTools installed.

1) Start MS Word and open an HTML file to be translated.

2) Click the WordFast (or Setup) icon .

3) Click the Next icon. WordFast automatically recognizes the document is in HTML format by displaying: “This appears to be an HTML, SGML, XML, or MIF file. This document must be tagged before translation.” Click [OK]. WordFast will tag the document and launch the translation session.

4) Translate the document as usual. WordFast will skip the tags. Important Notes: TRADOS template (Trados.dot, Trados7.dot, etc.) seem to have a conflict with

WordFast template (wordfast.dot) if they are both in the MS Word Startup folder. If you use TRADOS, keep only one of them (the more often used template) in the Word Startup folder and move the other somewhere else. Activate it via [Tools] > [Templates and add-ins] whenever needed.

Utilize the WordFast support communities. There is abundance of knowledge and help there. Go to www.wordfast.net and click “Community.” English language mailing list: http://groups.yahoo.com/group/Wordfast

Handy Macros: Pandora’s Box (PB) accessible from WordFast [Setup] tab [PB] tab. Removing the underscores ("_") will activate the macros. (P49 in the manual.)

Handy Short Cuts: If you don’t want to have the TM activated, the Shift+Alt+M shortcut will

deactivate /reactivate the TM at any time. Ctrl + Delete: After deleting a TU by pressing [Delete] in the Data Editor, do

this to permanently delete the TU. ALT + Delete: Deletes the target segment text, and restores the source segment

to unhide. Shift+ALT+Insert: Replace the current target text with TM in memory. Ctrl + . (period) to hide or show the hidden source text. … This doesn’t work, I found.

If you used “Translate” function and mistakenly copied the source text to target when 0% match. Use the following Search & Replace function to make target segments empty.

Find what (\<\}\0\{\>)*(\<\0\}) Replace with \1\2

9. Import from and Export to TMX (Translation Memory eXchanger) format To export WF TM file (.txt) to TMX

With the WF TM file open, select data editor, click “TM” tab, and click “Tools” tab. In the Filter tab, select “Export TM as TMX” from the Special Filters. You may have to move the cursor down to see this option.

To import TMX file (WF cannot read TRADOS txt file) Open the TMX file as if you are selecting the WF Glossary. Click the WF icon, and click “Select TM” under the TM tab. If you have a problem importing TMX file this way, it could be because of the TMX language codes used in TRADOS and WF. Japanese is JA-01, and American English is EN-US. To know exactly which TMX language codes your version of TRADOS expects, generate a small TMX export from a TRADOS TM created with the intended language codes, open this TMX export with Ms-Word (or text editor like Notepad), then look at language codes.

Or, download the Wf2Tmx-1.0.11.37.zip utility stored in the files section of [email protected] forum. If you receive a TRADOS TM file in a text file format, you can go through the following procedure to use the TM in WordFast.

TRADOS TXT file > Convert to TMX file using Xbench > Read as WF TM file

ApSIC Xbench is available from http://www.apsic.com/en/products_xbench.html.

The first key I type when a segment opens does not respond (Word 2002. & 2003). この問題があるときは次のように対処する Activate the "FirstKeyControl"command in Pandora's Box section. Remove the underscore (_) from the command. Change “First_KeyControl” to “FirstKeyControl”.

For Japanese source text, check the "An ESP without a trailing space ends a segment" rule in Wordfast/Setup, but not “An ESP + a space + a lowercase ends a segment.” ESP stands for “end-of-segment punctuation.” It is supposed to be automatically implemented in newer versions of WFC when it detects the CJK language.

Add your list of abbreviations (such as Dr., Prof., Mr., U.S.A., Co., Ltd.) to the Abbreviations list. This will prevent WFC from ending a segment at the abbreviation. Highlight the word including the period and press CTRL+ALT+T (same way as you add terminology). WFC will ask you if you want to add the term to the abbreviations list.略号が認識されないことあり。

In Setup’s General Tab, add “{space}” : Insert the following characters(s) after segment={space}
