LET’S REVIEW CONNECTING TO DATA

Tableau supports a wide variety of data sources including MS Office files, SQL databases, text files, excel files and other data connections.

There are two types of data connections: 1. Live Data connection – connection directly to the database pull ing l ive data (up to date at every moment) 2. Extract Data connection – copy of data from database at a given time (up to date at t ime of extract refresh)

Note: - Generally if you have a large data set you wil l use an extract to help with performance, especial ly i f you don't need it to be up-to-date at every moment.

Click on Data-> New Data source (To create new data source connection)

Inside the Data window there are several different Icons, each icon will reveal your data / object type.

Each column in your data source will be brought into the Data Window and Tableau will initially determine if a column is a “Dimension” or a “Measure”.

Save a Data source Save the Sample- Superstore Sales.xls Fi le Open Tableau Under connect to Data, choose Microsoft Excel, navigate to the Sample

xls file. Choose s ingle tableOrdersYes the first row has field namesOK Connect Live Drag and drop Order Id, Row Id from Measures to Dimensions Right cl ick the Sales, Profit, and Shipping Cost measures to change the

default number format to Currency. Right cl ick to Edit Discount and use the aggregate funct ion of average

and change the default format to percentage. Add the comment “Average Discount Percentage”

Choose DataOrdersAdd to Saved Data Sources Close the book Reopen a brand new workbook under connect to data select the data

source Orders. Note that al l the changes you made are st i l l in place.This is a great exercise to show how you can save your own data source connections to use over and over again in different reports and only have to add your calculations, number formats, etc 1 t ime.

Instead of using the connect live feature you can use an extract.

Extracts allow Tableau to take in all the data in a .TDE file so that the data source is not queried each time a view is rendered.

The Extract can be sent to the server where the workbook is accessed by the client, the end result is faster view rendering.

An extract can also be refined, filtered when it is created so that just a subset of data is available.

Extracts can be set to refresh automatically based on a schedule set by the publisher of the workbook.

To Extract data, go to the Data menu your data source you want to create an extract for Extract. When the Extract window opens you can add filters as needed then select Extract.

You can also insert a parameter in your data source when you are setting up the connection.

At the connection page, choose custom SQL, then select the button to Insert Parameter.

You have the option to create a parameter right then, or if you already have a parameter created in an existing workbook you can just insert that parameter.
