NotesThere are many creative ways that a
Toastmasters meeting can be run as long as speakers got productive feedback and a learning and fun atmosphere is sustained.
This particular flow of responsibilities has been the culture of Executive Toastmasters Club of Makati which was founded by CTM Dennis Dario in 1979.
There used to be an “Anything Goes” portion for a few minutes which is now, sometimes, replaced with a “Joke Session.”

Sgt-at-Arms Reserve the meeting room.Know program needs,
expected number of attendees.
Set up room, banner, meals, lights, projector, lectern, sounds etc.,
Arrange room conducive to learning room dynamics.
Greet & register guests along with the President.
Clear up after meeting ends.4

PresidentEnsure the meeting starts and ends on time.
Call meeting to Order, Introduce TMRead or display the club mission at every meeting.Report on the club's DCP progress.Recognize member achievements in their lives in
the TM district, etc.,Thank the TM, the GE and Adjourn the Meeting
Take time before and after meeting to Welcome guests.

Toastmaster The Maestro / The EmCee
Stay in touch with VP Ed as to the design and development of program.
Briefly talk about TM history, Club history and the benefits of TM.
Explain program flow to guests.Introduce speakers and topics.
Be gracious. Link ideas. Applaud.
Be the President’s & the VP Ed’s spokesperson during the program.

Topics Master Prepare 5 to 7 topics in alignment with Theme of the Day.
Keep them short, simple & light.
Articulate the value of Impromptu Speaking in life.
Describe formats SMG, PREP etc., quickly.
Explain timing and lights.Choose responders in
consultation with VP Ed & TM of the Day.
Facilitate, not yammer, not “present.”

Use SMG or PREP or AIDA formats.
Listen to YOURSELF as you speak and adjust.

speech in alignment with project objectives. Don’t wing it!
Practice & Rehearse a lot.Talk to your Mentor +
Evaluator and Club VP Ed for concerns and tips.
Come early, set up room, visual aids, if any. Be personally responsible.
Listen to feedback quietly , open-mindedly and calmly. Learn!

General Evaluator
Know the program flow.Offer brief, creative insights &
benefits of and about “Evaluating Well”
Evaluate everything/everyone…room, setup, program flow, President, Toastmaster of the Day.
Slightly back-up and support other evaluators.
Gently and slightly evaluate Ind. Evaluators too.
Summarize all and applaud all at the end.

Offer “Word of the Day” related to theme.
Applaud correct and creative usage of language. Name speakers.
Correct wrong usage politely, briefly and accurately w/out mentioning the name of the speaker. 12

Ah-Counter
Listen acutely for sounds and long pauses used as fillers.
Write how many filler sounds or words were used during all portions of the meeting.
Read score and mention names nicely.

Timer Contact Speakers to confirm the time for their Prepared Speech.
Make certain the equipment works and can be seen by all.
Generally, Table Topics speakers should be +/- 15 seconds of allowed time; Prepared speakers must be +/- 30 seconds.
