DESCRIPTION

The British Academy (BritAc) is an independent, self-governing fellowship of nearly 900 scholars, elected for their distinction in research and publication. Overview
The British Academy (BritAc) is an independent, self-governing fellowship of nearly 900 scholars, elected for their distinction in research and publication.
The purpose of the Academy is to inspire, recognise and support excellence in the humanities and social sciences, throughout the UK and internationally, and to champion their role and value.
The Academy seeks to foster and promote its full range of work and activities, such as events, and publications (print and electronic) which aim to stimulate and inspire future generations of scholars.

Having a robust CRM system and an interactive website – with integration between the two – is absolutely essential to the Academy’s activities.
The Academy selected the Iris Integra CRM system and had expertise in-house to manage both that and its website.
When the Academy was trying to implement new Integra database functionality and enable website integration, two key internal resources left the institution – so the Academy had to ‘plug the gap’ quickly.

The Academy contacted Hart Square because of our successful track record in Integra implementations for membership organisations and extensive project management services to achieve the successful roll-out of the ‘back-office’ and web phases of the project.
The services Hart Square agreed to undertake included:
• Project management and the effective and timely completion of work on the Academy’s Integra contacts database.
• Leading the Academy’s liaison and negotiations with Iris and its website supplier (BOCC).
• Managing and advising Academy staff on all aspects of the web implementation phase of the database implementation project.

The Fellowship database is crucial to the organisation, so there had to be a high level of trust placed in us to manage and deliver this very important project.
Integration of the Academy’s Integra contacts database with its existing website for the publicly–accessible Fellows Directory was crucial.
It was also important to create a facility within the database (OLS) system which allowed visitors to the website to register, and then be added to the Integra contacts database.
We would also help create a new ‘Fellows Portal’ on the Academy’s website which would allow Fellows to log in and update their details and access relevant paperwork.

Challenges included migrating the existing publicly-accessible Fellows Directory from the old database to the Integra database.
We had the in-depth knowledge of the Integra OLS and migration expertise.
Our website integration expertise and experience enabled the Fellowship to log on to a secure portal to update their details and provide additional information.

Within the new portal, the intention was to enable the Academy’s Fellows to interact with the Academy and with each other– within a secure environment.
Hart Square was able to configure the Integra database OLS module to enable:
• Visitor registration• Secure logon• Profile updates• Events entry• Surveys.

We helped set up a separate, additional section of the website to support the secure publication of documents to various discreet Sections and Committees within the Fellowship, and to support the election process.
We also advised on back office functionality, such as Donations management in Integra and payment processing, reconfiguration of some Attributes, and the uploading of photos against Fellows’ profiles.

With around 50 events a year being part of the Academy’s operations, we provided bespoke guidance, advice and training on use of the Integra Events module.
We also authored bespoke user guides for a number of key functions, from event and delegate management through to OLS document downloads.
We also provided technical advice to the IT team relating to the configuration and support of the Integra tools and infrastructure.

The project went live on time and within budget.

The Academy now has a very integrated CRM and website operation that enables Fellows to book events, access and update profiles, order publications, and so on.
