Program Overview
What is FedRooms?
• FedRooms is the official government-wide, government-sponsored lodging program, in support of the President’s Management Agenda simplifying the lodging process for federal travelers and saving the government money
• FedRooms negotiates hotel rates on behalf of the federal government in markets where government travelers need to stay
FedRooms is your hotel program.
Who can use FedRooms?
FedRooms was designed for all federal employees. • FedRooms is available to all federal government employees—military and
civilian—on official travel
When can I use the FedRooms Rate? • Federal government employees can always use the FedRooms Rate
when on official travel • The FedRooms Rate can be used for federal travelers on leisure travel*• The FedRooms Rate can be used by federal travelers for small groups
and meetings of up to 25 people*• The FedRooms Rate can be used by government contractors and state
employees on official travel*

Why does FedRooms exist?
• The federal government (including the Department of Defense) spends more than $2 billion on hotels every year.
• FedRooms leverages overall buying power to negotiate the best hotel rates on behalf of the federal government. The program is available for
all federal and military employees.

• More than 5,000 hotels in more than 1,600 cities around the world

The FedRooms rate and the “government” rate
are not the same. • FedRooms rates are negotiated specifically for federal
government travelers.
– Hotels must agree to the program terms & conditions
– FedRooms will assist in holding hotels accountable
• “Government” rates are unmanaged, and are determined by each hotel
– 15 percent of “government” rates are over per diem
– May have hidden fees and cancellation policies that add up to a bigger bill at checkout
The FedRooms Rate guarantee
• Rates are at or below per diem
• Travelers can cancel a reservation until 4pm on the day of arrival without penalty
• No hidden costs or penalties are attached to the Rate
• Travelers will not be charged for early check-out

Every rate in the FedRooms program meets the criteria outlined above, and is monitored for compliance. Other rates are unmanaged (GOV, AAA, etc.), offering travelers no guarantees.

• Verify that hotel is one of the 66% that offers LRA, or last room available, rates. 34% of FedRooms hotels offer rates that are NLRA, or non-last room available. – NLRA rates give hotels the flexibility to extend FedRooms Rate in
competitive markets– Properties offering NLRA rates designate a percentage or number
of standard rooms available at FedRooms rate
• Book lodging directly via www.fedrooms.com (when policy allows).
• If booking directly through a travel agency, online booking tool, or hotel, ask to speak to the supervisor/manager.

How can travelers get involved?
• Always use the FedRooms Rate in order to strengthen the program in the future.
• Submit your comments or suggestions via the survey on fedrooms.com and/or the help desk.
• Invite travelers in your agency to participate in upcoming FedRooms 101 training sessions. Information is posted on fedrooms.com.
• Provide access to internal communication vehicles for program updates and information.
• Insist on the FedRooms Rate every time you travel. If you have difficulty getting the rate, or have feedback about your experience, contact our help desk.
