From day one, the two office based Directors, Richard Munro and Darren Lock, had a precise and clear perception of the vital ingredients for a modern estate agency.

The primary focus undoubtably had to be customer service. So from the beginning, Munrolock have set out to ensure we offer the highest quality brochures and the latest technology.

We also now use Social Networking to market our properties, as the ability to reach thousands more people quickly and easily exists through this medium.

Preparation

Selling and Letting needs preparation and consistency.

Preparation is the key. Behind the scenes it’s an ongoing mixture of advertising, telephone calls, leaflets, emails and hard work. Without all of this, we would have no applicants to sell or rent to. With no applicants to sell or rent to, we would stop getting properties.

We pride ourselves on being able to identify potential buyers and tenants for properties before we even start marketing a property.

That’s why we are successful in selling and renting a number of properties within a few days.

WHY COMPUTERS ARE ESSENTIAL

It may not be the first thing you think of when you walk into an Estate Agents office, but next time you do, take the time to look to see if every member of staff has a computer on their desk.

If they haven’t, then how can that agent fully market your property?

Emails, online brochures and software, mean that if someone registers with any member of staff, all members of staff can see the details of that person, can respond to emails and can deal quickly with all enquiries.

PREPARING YOUR PROPERTYDon’t worry, we will give you advice on the best way to prepare your property for either selling or for renting.

Make sure that the outside of your house is looking as good as it can be. If any work needs doing, attend to it before you put your house on the market

Agents will always tell you to ‘de-clutter’. You need your property to look as spacious as possible...toys, books, clothes etc piled up around the property give the impression of having no space.

Good photographs are important, as they will entice people to view, so make sure that on the day we come to take photographs, you have made sure each room is available and as clean and tidy as possible.

We have been using floorplans on our brochures since we opened in 2004. they are an essential part of marketing.

Munrolock.co.uk receives thousands of visitors every month.

Whilst the Property Portal websites attract the majority of visitors, our own website also has many visitors every day.

Local people especially, will be aware of our boards and our advertising and will go direct to our site.

All our properties are available on our website as soon as we have the details prepared.

Plenty of photos, floorplans, description, measurements, location map, the epc and also the google streetview, give all the information potential buyers and tenants will need.

The largest sites, such as rightmove, do not allow private sellers to advertise their properties, giving estate agents a unique marketing tool.

Automatic Feeds to Property Portals

The amount of Property Portal websites in the UK is staggering. Many of them do not last very long. The largest websites, such as Rightmove, actually cost Estate Agents a great deal to advertise on.

Many agents can pay over a £1000 per month just to be on one website. So they have to offer good value in return.

Rightmove is without question the largest website and an essential site for any property to be advertised on.

After that, each property portal has its advantages. Zoopla now claims to be the second largest website and is delivering many applicants to us each month.

Every hour 52,549 visits are made to Rightmove and homemovers view 144.986 sets of details.

We’ll make sure your property is automatically emailed to Rightmove’s database of active buyers looking for property like yours.

There are many other websites that our properties appear on, other than the ones listed on the page before, but they change often.

The Let Only, Rent Collection and Management services all include:

1 Valuations. We carry out a free assessment and valuation of your rental property and may suggest ways to maximize your rental income.

2 Marketing. To promote your property, we take photographs, measurements, draw floorplans and advertise it on the Munrolock website. We also use property websites such as rightmove, zoopla and fish4homes. Your property will also be included in our property listing which is displayed in all of our branches. Board advertising is also available. Photo slideshows, Location maps with route planners, printable brochures, are all on the website brochures for every property.

3 Viewing and feedback. We can accompany all prospective tenants around your property at times to suit you. We confirm all viewings via email and feedback on viewings will also be sent via email.

4 Offers and Tenant Screening. Once suitable tenants have been found and terms of their let agreed, we will apply for a credit reference on your behalf and commence the preparation of relevant documentation.

5 Referencing and Preparation of Tenancy Agreement. Every full reference has the benefit of the following: credit history check, managing agent/landlords reference employment reference (or any other financial income) character reference, tenants database search. This is the ‘usual’ referencing service used for all tenants, and if required, on guarantors as well. The tenancy agreement can be prepared by Munrolock on your behalf and you have the option of adding extra clauses to our standard terms.

6 Rent, Deposit and start of Tenancy. We will collect the first months rent and the deposit (normally six weeks rent) from the tenant on your behalf before commencement of the tenancy.

7 Standing order and forwarding payment. Munrolock collects the deposit and the first months’ rent from tenants before they move in by bankers draft ensuring cleared funds. We will then deduct our fees and any disbursements and the balance will be transferred to you by online banking within 10 days though usually 2-3 days.

Let only plus Rent Collection also includes:Munrolock sets up a standing order for the tenants to pay monthly into our account. We will then pass the rent on to you. A statement of account will be emailed to you each month. If the tenants fail to pay or there are issues with the rent collection, we will chase the tenants with our usual means which include telephone, emails and letters. We deal with outstanding rent in a legal manner, which means if payment continues to be outstanding and you have to take legal proceedings against the tenants, there will be a detailed record of the chase methods used to try to collect the rent from the tenants.

Management Service includes all of the above and also:Munrolock will act as your tenants’ contact for all property management issues. This will also involve us arranging estimates if needed and organising repairs. We also arrange the gas safety each year. Dealing with tenant’s issues on property matters can be very time consuming and whilst some properties require very little intervention from us, others require alot of attention. The management service is that safeguard to stop the landlords having to spend much of their time dealing with usually quite small issues. We use our selection of contractors for our maintenance issues.

A letting agent can introduce and vet prospective tenants, prepare tenancy agreements, advise on and arrange inventory and condition reports and changes to utility accounts and council tax.

They can also collect the rent and pay the money to your account.

The agent can also pay bills on behalf of the landlord and inspect the property, recommending, overseeing and accounting for necessary maintenance, repairs and redecoration.

This is called a management service and the agent will usually charge an additional monthly per cent of the tenant’s total rent.

The extent of the services may vary from agent to agent and much will depend on what your own requirements are.

For example, do you just want an agent to find you a tenant, or do you want an agent to manage the whole term of the rental agreement from start to finish

The majority of letting agencies will offer both letting and full management services, but talk to several and negotiate and understand their terms before deciding which agent or agents to instruct.

Make sure you know which services you are getting and what you're paying for, either as part of a package or as extras.

Ask about 'To Let' boards, online advertising on their website and on portals like Rightmove.co.uk, Zoopla and Primelocation.com, magazines and their own marketing ideas.

They are a way for an Estate Agent to advertise their company, this is true, however the advantage of this is it attracts more potential buyers and tenants, meaning a greater chance of getting your property under offer.

If you are looking for as many ways as possible to find buyers and tenants, then having a board should be the first thing you ask for.

We email constantly all day, but in between we spend our time on the telephone. It is still the quickest and easiest way to deal with many enquiries.

Our telephone system is even set up, so that when someone who is already registered with us calls, all their details appear on all staff’s screens before

they even pick up the phone.

Telephone numbers do not need to be dialed, just a click of a button is needed. If we are all on the phones? Rather than an answerphone, you will go through

to a real person who will take your message.
