2 Upgrade und Migration Information
Upgrading the components to SAP Workforce Performance Builder 9.5 or a Service Pack might need some
preparation to avoid complications and a negative impact on productivity.
See the tips and notes for each component.
The upgrade of a component and migration of a workarea depends on the SAP Workforce Performance Builder
Edition and includes the following steps:
Desktop Edition - local workareas
1. Back up the workarea
2. Prepare the migration
3. Install the new Producer version
4. Migrate the workarea
Enterprise Edition - Manager and Producer workareas
1. Steps in old Producer and old Manager version
1. Back up the database and corresponding files
2. Back up the local workareas
3. Prepare the migration
4. Check out write permissions for the resources (master author)
Note
Remember to check out the write permissions before upgrading Producer and Manager.
2. Steps in new Producer and new Manager version
1. Install the new Producer version
2. Upgrade to the new Manager version
3. Create a new Manager password (only for migration from 9.1)
4. Migrate the Manager workarea (master author)
5. Migrate the local workareas (standard authors)
2.1 Migrating a Workarea
Migrating a workarea allows to update the workarea resources to a newer Producer version. The migration is
necessary, as a newer version of the Producer includes changes in the resources and the resource structure.
During the migration the resources will be changed to the new requirements, own resources will be converted.
The migration does not change the content of the workarea.
The migration of a workarea is required for:
o a new release
o a service pack

Note
The migration is only possible for workareas from Producer version 9.1. Older workareas have to be
updated at first in a Producer 9.1 and afterwards they have to be migrated to the current Producer
version.
Note
After migration it is not possible to use the workarea in an older Producer version.
Migration of user-defined resources
A workarea can include user-defined resources for creating individual learning content. Typical user-defined
resources are bubble types, settings or templates.
During the migration, user-defined modifications and settings are kept and converted into the new resource
structure. Any adaptations are not deleted.
In a workarea with an up-to-date resource structure imported resources have to be migrated individually.
Migration of an Instant Producer workarea
The workarea migration of an Instant Producer for the Enterprise Edition is executed automatically after the
program is started for the first time.
The workarea migration of an Instant Producer for the Desktop Edition can be performed after the migration of
the resources in the Manager workarea (see chapter ‘Manager Workarea - Enterprise Edition’). The
synchronization is executed automatically after the program is started for the first time.
2.1.1 Local Workarea - Desktop Edition
The migration of a workarea for the Desktop Edition allows to update a local workarea of the Producer.
Preparation for the migration
Before migrating a workarea, ensure that the following requirements are met:
o Backup workareas
Before migrating a workarea, create an archive, which can revert to in the event of any problems. This can
be done with the Export Archive... function in the Workarea > Administration menu.
o Update workareas to version 9.1
Migration is only possible for workareas from Producer version 9.1. Older workareas must first be
updated to Producer 9.1 and then migrated to the current Producer version.
o Take a note of trainer Configurations (only for migration from 9.1)
The settings of the trainer Configuration (old trainer) are not converted. Before migrating the workarea,
take a note of the current configuration.
After migration, restore the configuration by changing the Playback Settings accordingly.
Migration of the workarea
The migration of a workarea can be executed as follows:
1. Install the new Producer version.
2. Open the Producer.

3. Open the workarea by clicking on Workarea > Select Workarea...
4. A dialog box opens automatically. Here the automatic migration can be started (Migrate Workarea button)
or the manually check of the migration settings before migrating (Show Details… button).
5. In most scenarios, it is recommended to keep the default migration settings and simply choose Migrate
Workarea.
Special customizations can be done by changing the recommended migration settings, click the Show
Details button and make the required changes in the Details dialog box. Next, start manual migration by
pressing Migrate Workarea in the Details dialog box.
For further information on the settings, see the chapter 'Migration Dialog Box'.
6. The migration is now executed.
7. Click OK in the progress dialog box once the migration is completed.
8. Once migration is completed, a folder with log files opens.
The folder contains archives with the changed and removed resources, as well as log information. The
folder is located in the workarea folder.
9. Click Restart in the dialog box. Restarting the Producer is necessary so that the new resources and
configurations can take effect.
Note
Do not import the outdated resources of the log folder into the workarea again.
2.1.2 Manager Workarea - Enterprise Edition
In order to update the workarea in an authoring environment with a Manager workarea and a number of local
workareas, the master author must perform the update in one local workarea and afterwards deploy it to the
other local workareas. This achieves a consistent use of the needed resources.
Preparation for the migration
Before migrating a Manager workarea, ensure that the following requirements are met:
Caution
These requirements must be met to avoid errors during the migration process and in the migrated
workarea.
Note
Refer to SAP Note 1863148 for information on how to clean up deleted files in a database.
o Backup Manager and Producer workareas
Before migrating a workarea, create an archive, which can be reverted to in the event of any problems.
This should be done for the Manager workarea on the Manager as well as for the local workareas of the
authors.
o Update workareas to version 9.1
The migration is only possible for workareas from Producer version 9.1. Older workareas must first be
updated to Producer 9.1 and then migrated to the current Producer version.
o The migration of a Manager workarea is only possible from Manager version 9.2. Note the following:

o Upgrade Manager
Upgrade the Manager 9.1 to the version 9.2 or 9.x. The Manager can handle the new resources and
resource structure.
o Create new passwords
With the Manager 9.2 the password encryption is optimized and old passwords are expired.
Create a new password for logging onto Manager. This is necessary for all master and standard
authors.
The creation of a new password is only necessary for non LDAP-based users.
Further information about upgrading Manager is available in the Operations Guide.
o Save write permissions centrally
Save all write permissions of the resources to the server. The write permissions are necessary for the
master author to migrate the resources. This can be done by selecting a resource and clicking Finish
editing.
o Take a note of the trainer configuration (only for migration from 9.1)
The settings of the trainer Configuration (old trainer) are not converted. Before migrating the workarea,
take a note of the configuration.
After migration, the configuration can be restored by changing the Playback Settings accordingly.
Migration steps for the master author
The migration can be executed by the master author as follows:
Steps in old Producer and Manager version
1. Open the workarea in the old Producer.
2. Open the workarea by clicking on Workarea > Select Workarea...
If the authentication dialog box appears, enter the user data with the new password.
3. Start editing resources to get all write permissions. Select the Resources tree and click on Manager
Workarea > Start editing all objects...
4. Close the Producer.
5. Click Shut down in the dialog box. Do not return the write permissions.
6. In Manager, delete all resources from the trash to prevent the objects from being restored.
Steps in new Producer and Manager version
1. Upgrade the Manger to the new version.
2. Install the new Producer version.
3. Open the Producer.
4. Open the workarea by clicking on Workarea > Select Workarea...
5. The authentication dialog box appears. Insert the user data with the new password.
Note
Log on with the user data as used for the checkout of the write permissions to avoid permission errors.
Switching Producer versions may cause the authentication dialog box to appear twice. Enter the user
data again.
6. A dialog box opens automatically. Here the automatic migration can be chosen (Migrate Workarea button)
or to manually check the migration settings before migrating (Show Details… button). If the write
permissions are missing or cannot be retrieved for the current user, choose Load from Manager in the
dialog box, in order to carry out the migration by downloading the resources directly from the manager.

The migration will now be executed.
7. Once the migration has finished, a folder with log files opens.
The resources are stored in the resource structure and marked as converted.
8. If you use a Manager workarea, save the resources to the server.
Handling of migrated resources
The screenshot shows an example for converted resources after the import of Standard resource. The settings
and documentation templates are created in the resource structure of a current version. The resources are
marked as converted and number 2 (or higher) for the second object of a resource type.
The converted resources are additional resources and can be used as standard resources or can be deleted, if not
needed. In this case, the settings can be activated in the Configurations resource and the Documentation Style in
the Documentation Settings.
Note, that it is not possible to change the name of the resources. Only import the resources you need, in order to
have a clear structure.

3.3 Organizing Contents
3.3.1 Recombination View
An additional tree view within the Project Explorer allows you to easily compare and recombine complex workarea
structures by dragging and dropping objects directly from one tree onto another. The second tree view can be
opened within the Project Explorer. The layout can be arranged horizontally and vertically.
Type of change: New Feature
Components: Producer
3.3.2 Multi-Selection in Project Explorer
The multi-selection within the Project Explorer allows you to easily move, delete, copy and paste multiple objects
within the same tree hierarchy level. In addition the drag and drop behavior has been optimized.
Type of change: Enhancement
Components: Producer
3.3.3 Enhanced Search in Project Explorer
The text search has been revised and enhanced, in order to improve the capabilities available for finding contents,
especially in complex workarea structures:
The search considers any parameter within the object properties (such as roles, tags, context, created by or
subtype). The parameters have to be selected within the search options.
Search hits are shown directly within the tree object caption. If the search hits are part of another parameter,
the name of the parameter is shown in brackets after the tree object caption.
