reserve the right to withdraw the offer of spacewithout further notice and offer it elsewhere ifthis condition is not met.

Cancellations and Withdrawals:

Any trade stand holder withdrawing, afteracceptance of space, for any reasonwhatsoever on or after Friday 15th October2021 will be held liable for the whole cost offloor space allocated to them. Please note thatthe £150.00 deposit will not be refundedunder any circumstances once space hasbeen allocated.

Please note that the wristbands and dog andhandler passes are strictly to be given tostaff/volunteers working on your stand andshould not under any circumstances be offeredas prizes in any competitions or raffles.

Admission Tickets

Admission tickets for customers and guests areavailable to trade stand holders at a specialrate of £16 each (normal advance price£18.00). Quote TRADE21 viahttp://www.discoverdogs.org.uk/content/ticket-office/ (fees apply).

Advertising – Limitations

Use of brachycephalic dogs in advertising andtrade stands graphicsThe Kennel Club politely requests that tradestands do not include images of brachycephalicdogs (dogs with flat faces/short muzzles suchas Bulldogs, French Bulldogs and Pugs) within

their promotional material including adverts andtrade stand graphics at Discover Dogs. Theexception to this is when promoting specificproducts for these breeds and where the use ofbrachycephalic dogs is considered to beappropriate, the images used should show thehealthiest, least exaggerated example of thebreed.Any adverts submitted to the Discover Dogs

Show Guide using these breeds unless theyare specifically promoting a breed or breedrelated product will be refused and any tradestand including these breeds within theirgraphics will be asked to remove the graphicfrom their stand.This is due to the unnecessary andinappropriate use of brachycephalic dogs in themedia which has significantly increased theappeal and desirability of these breeds andtherefore harming their welfare. Advertising and Listings in Show Guide

Newhall Publishing will sell all advertisingspace in the Show Guide (see rate card detailsin appendix B). Newhall Publishing will alsoadminister the system for your inclusion in thetrade stand listings in the Show Guide. Foryour free 25 word inclusion please use theonline linkhttps://www.newhallpublishing.com/discover-dogs-entriesStands will be listed alphabetically and there isalso opportunity to add additional words, logosand colour pictures at an additional cost. Anystands appointed after the Show Guide hasgone to press will not be included in the listing.

Banking

There are several ATM machines located onthe main Boulevard.

The Organisers reserve the right, within theirsole discretion, to allow television, soundbroadcasting transmissions, streaming, filmingand sound, or film recording at any time duringthe Show and to re-site exhibits for thatpurpose, if so requested by the television or filmprogramme producers. The Organisers acceptno responsibility whatsoever for the nature orcontents of any presentation.

Build-up including vehicle access andparking arrangements

Delivery of exhibits for shell scheme stands willcommence on 19th November until 2200 hours(see zone build up plan for access times foreach hall section for shell scheme stands –no admission will be permitted outsideallocated zone time). Shell scheme standholders should not arrange deliveries ofexhibits before this time as entry will not bepermitted due to stands being constructed.Stand holders should bring their own trolleys.Vehicle access to the hall will have controlledlimitations – all vehicles will need to report tothe Traffic Administration Office in SandstoneLane, E16 1WW. There is a holding area infront of the office, please follow the marshalsdirections to park, then proceed to the TrafficAdministration Office in person. Located onground level outside the North Hall.

Drivers will then be issued with a LorrywayAccess Document (LAD). This will detail thedate, name, name of stand, stand number andvehicle registration number. It will also indicatea limit for unloading and loading. Drivers mustadhere to the specified time limit. Thoseexceeding the time limit will be clamped orremoved and fined £300. If extra time isneeded, please see a traffic marshal.

Exit the Traffic Administration Office and returnto your vehicle. You will be directed to aqueueing system where you should wait until aspace is available on the lorryway to unloadwhich will be advised to you by a marshal.While the vehicle is stationary please switch offyour engines.

When room is available on the appropriatelorryway, vehicles shall be directed up theramps and to the hall doors. All drivers mustfollow the directions of the traffic marshals.

Vehicles of car and transit nature shall beparked against the side of the hall.

Vehicles larger than a transit van shall beparked on the external lane.

Vehicles are allowed onto the lorry ways for thepurpose of unloading only and drivers shouldabide by the allocated time.

On completion of unloading/loading, vehiclesmust be removed to the relevant parking areaor off the site immediately.

If the driver exceeds the allocated time,attempts to locate the driver shall be made viaa phone call, physical search of the stand andfinally a member of the organisers office willmake tannoy announcements. If this isunsuccessful, vehicles will then be ticketed witha fine of £300.

In the event of a vehicle breakdown or accident,please contact a traffic marshal immediately.

The co-operation of all drivers in observingthese processes is appreciated.

Lorry and Transit Sized Vehicle Parking

All lorry/transit type parking is subject toavailability and is located in the north-west lorrypark in Seagull Lane (adjacent to the DLRtracks).

Lorry/transit type vehicle parking is free ofcharge during build up and breakdown days butthere is a £35 per day charge for lorries(vehicles over 3.5 tonnes) and a £20 per daycharge for a transit type vehicle (below 3.5tonnes) during event open days.

Parking is on a first come, first served basis.

If a vehicle(s) wish to park for build up daysonly on the north-west lorry park, this will bepermitted using the LAD document, clearlydisplayed in the window of the vehicle. Driversare required to remove vehicles prior to theopen days (unless paying to park as detailedabove).

Any vehicles failing to show a valid parkingpermit or displaying an out of date parkingpermit will be penalty ticketed and a fee will belevied.

All vehicles parked in the north-west lorry parkmust be empty of all goods and stock and,where possible, all curtains and doors left open.

No overnight sleeping in vehicles is permitted.

Drivers must follow the instructions issued tothem by traffic marshals at all times.

Stands must be complete and all exhibits inposition by 2200 hours on Friday 19th

November (no vehicle movement is permittedon the lorry way after 2300 hours).

Please note couriers also need to report to theTraffic Admin Office on arrival.

No vehicles are permitted on the lorry wayduring show opening.

ExCeL London and the Kennel Club accept noresponsibility for loss, damage or theft tovehicles or their contents.

Approximate Unloading Times:-

Car – 15 minutesTransit type vehicles – 45 minutes7.5 tonnes – 60 minutesArtic – 90 minutes

Breakdown

Breakdown will commence at 17.15 hours onSunday 21st November, once all visitors haveleft the hall (it is prohibited to move goodsfrom stands until this time). The hall must be

clear of exhibits, stand fitting materials, tapeand rubbish by 2200 hours for all space onlystands and 2000 hours for shell schemestands.

All vehicles under 3.5 tonnes must have aLorry Way Access Document which can becollected from Traffic Administration, situated inSandstone Lane, anytime from 3.45 pm wherethey will then join the queueing system. Pleasehave your vehicle details with you. You have alimited time period for loading and must adhereto this.

Exhibitors with vehicles under 3.5 tonnes willhave access to the lorry way fromapproximately 5 pm.

All vehicles 3.5 tonnes and above must have aLorry Way Access Document, which can becollected from Traffic Administration, situated inSandstone Lane anytime from 6 pm, wherethey will then join the queueing system.Pleased have your vehicle details with you.You have a limited time period for loading andmust adhere to this.

Exhibitors with vehicles 3.5 tonnes and abovewill have access to the lorry way fromapproximately 6 pm.

Any vehicles 3.5 tonnes and above arriving onsite before 3 pm can be parked in the holdingarea until 6 pm.

ANY EXHIBITORS WITH HANDCARRYABLES BEING TAKEN OUT OF THESOUTH HALLS TO ANY OF THE CAR PARKSMUST EXIT THE HALLS VIA THE WATERFRONT BOULEVARD STAIRS OR LIFTS BYLORRY WAY DOORS S DOWN TO THEDOCK EDGE AND INTO THE PURPLE CARPARK OR DOWN THE SERVICE CORRIDORAND INTO THE ORANGE CAR PARK.

GOODS WILL NOT BE ALLOWED OUT OFTHE HALLS INTO THE BOULEVARD.

Once in the queuing system, drivers must notleave their vehicles unattended. The reason forthis is unattended vehicles will stop other

exhibitors from gaining access to the lorryways, any unattended vehicle will be ticketedand a fee levied. Vehicles causing anobstruction or unauthorised extension to theirtime will also be ticketed and a fee of £300levied.

Any vehicles arriving on site before 3 pm will becharged £30 parking fee.

Suitable footwear must be worn during allperiods of build-up and breakdown. Safetyfootwear is recommended. Open toed footwear,e.g. sandals, is prohibited.

Carpeting

GES are the official supplier of floor coveringsfor space only sites. For a quotation seecontact detail on page 4.

Space only standholders who wish to laycarpet directly on to the hall floor may do sousing approved carpet tape, providing that it islifted before they leave the hall at the end of theshow. A charge will be made for removing anycarpet tape, which is left and has to be lifted bythe organisers' contractors.

The rate for “other” shell scheme sitesincludes the modular shell scheme/carpetpackage. Grey carpet will be laid to allstands.

Catering

ExCeL London Hospitality (ELH) are the solecatering contractor at ExCeL and all cateringrequirements should be purchased from them.Under no circumstances whatsoever canconsumables for human consumption be soldfrom trade stands. Bars and restaurantfacilities are available within the Boulevard. Astand catering service is also available andcontact details are on page 4.Hygiene Regulations:If Leiths/ELH are providing hospitality on yourstand, you may have to provide a fridge andsinks/wash hand basins to comply with legalregulations. However, if they are only providingsandwiches and are using disposable plates

and cups, it is unlikely that you would needsuch facilities. For more information, pleasecontact the Organisers.

Cleaning

Construction (Design and Management)Regulations 2015

(CDM) – VERY IMPORTANT INFORMATIONREGARDING BUILD UP AND BREAKDOWNIt is important to make yourselves and yourstaff/contractors aware that we are nowoperating within scope of the Construction(Design and Management) Regulations 2015(CDM) which have been set by the Health andSafety Executive (HSE).

To briefly summarise the Kennel Club assumesoverall responsibility for the construction siteduring build up and breakdown with this rolebeing known as the role as PrincipleDesigner/Contractor.Consequently, each space only stand andthose shell scheme stands where an exhibitorplans to undertake construction is to beconsidered a separate CDM site in its ownright.

If you have opted to take up a space only standyou have certainly responsibilities for your ownmini CDM site. You will need tosubmit plans and visuals (which are subject topre-show and on-site approval by our structuralengineer) along with Risk Assessments andMethodStatements by 15th October. Your stand builderwill also need to provide a Construction PhasePlan. Guidance document from ESSA isavailable on the Discover Dogs website alongwith a template for your stand builder to workto.http://www.aev.org.uk/cdm-resources

A site induction document will be circulated toALL STAND HOLDERS in October 2021. It is

your responsibility to ensure thatevery single member of your staff, anysubcontractors you may use and the staff thatthey employ are given a copy of theseinduction sheets. Failure to do so may result inyour teams being refused admission to theHalls.

Please take particular attention to the fact thathi viz jackets will be required to be worn at alltimes during build up and breakdown of theshow (including restocking in the evenings). It isalso advisable to consider using other PersonalProtective Equipment (PPE) during theseperiods.

Covid-19

All standholders will be required to strictlyadhere to any government regulations in placeat the time of the show and any additionalmeasures that The Kennel Club and/or localauthority deem necessary to ensure that theevent is as safe as possible for all inattendance. Because of the changing nature ofthe situation these requirements may change inwhich case you will be advised nearer theshow dates. However, stand holders shouldconsider introducing the following: contactlesspayments, provision of hand gel on the stand,separation screens and queuing system shouldthe stand become busy.

Damage and Dilapidations to Hall

No excavations or perforations of the floors,walls, columns or ceilings of the buildings maybe undertaken, nor may any fixing be madethereto except by ExCeL contractors.

Stickers and other adhesive materials. Nopromotion material of an adhesive nature maybe affixed to any part of ExCeL andappurtenances always excepting theadvertising sites designated for rental.

Stand holders are responsible for making goodat their own expense all damage anddilapidation (no matter how caused) occasionedby them or their employees or contractors,

whether to the Show premises or theirappurtenances, or properties of the Organisersor their Contractors and hereby indemnify theOrganisers from and against all claims,demands, costs, action or losses which mayarise from any such damage or dilapidations.

Data – Use of your data

As a contractual necessity we need to shareyour details with the contractors who will supplythe exhibition procurement and services - thosecontractors agree to comply with DataProtection legislation and i) to use data only forthe specified purpose ii) not to share with Thirdparties if unauthorised and without consent andiii) to hold data safely and securely. It will alsobe retained for the purpose of sending standre-booking information for next year's show andto inform you about trading opportunities atother Kennel Club events.

The organisers and hall managers will notaccept or sign for deliveries except smallpostal deliveries, so please ensure thatthere is someone on your stand if you areexpecting a delivery. Packages will only beaccepted on site during Discover Dogstenancy. PLEASE TAKE PARTICULARNOTE OF VEHICLE ACCESSARRANGEMENTS WHICH ALSO APPLY TOCOURIERS.

Standholders are encouraged to arrange forPage 11

deliveries to arrive before the show opens eachday. Please note that any deliveries to standsmust be hand-carried into the hall during theopen hours of the show. NO trolleys areallowed, due to health and safety regulations.

Disabled Discrimination Act (Equality Act)

Standholders are reminded to consideraccessibility and services for disabled visitorswhen designing their stand layout (to includeany upper levels).

Dogs on stands

You are permitted to have dogs on your stand.Puppies under 6 months old are not permittedunder any circumstances. You will require adog and handler pass for each dog and thesecan be ordered with your staff wristbands usingthe following linkhttps://www.surveymonkey.co.uk/r/DD19WristbandandPassorder???????

Please note that anyone bringing a dog mustabide by the Regulations of this Show, and notto bring any dog which has contracted or beenknowingly exposed to any infectious orcontagious disease during the 21 days prior tothe Show, or which is suffering from a visiblecondition which adversely affects its health orwelfare.

No dog present on stands should ever havebeen subject to a Court Control Order or aContingent Destruction Order under the DogsAct 1871or the 1991 Dangerous Dogs Act. Anyone in attendance at Discover Dogs shouldtake all reasonable steps to ensure that theneeds of their dog/s are met and should notknowingly put their dogs’ health and welfare atrisk by any action, default, omission orotherwise. Anyone found to be negligent in thisregard will not be admitted to future events.

Please note that the dog and handler passesare strictly to be given to staff/volunteersworking on your stand and should not underany circumstances be offered as prizes in any

competitions or raffles.

Electrical Services

Lighting and power is not included for spaceonly or shell scheme stands. The officialcontractor is GES. No other electricalcontractors are permitted. Contact details forGES are on page 4.

If you wish to order electrical fittings, pleaseuse the link to GES which is available on page4. A service desk will be situated next to theorganiser’s office on site to help you with anyelectrical queries during the build-up.

Electrical Regulations

In order to ensure a safe event, the organisershave appointed a competent electricalcontractor, responsible for carrying outelectrical work on all stands within the venue.Exhibitors who wish to pre-fabricate any of theinstallations must ensure they comply fully withExCeL Rules and Regulations which aredetailed in the eguide –http://www.aev.org.uk/e-guide

All electrical power to exhibition stands isturned off 30 minutes after the show closes.Power cannot be reinstated under anycircumstances. If you require 24 hourpower on your stand, or temporary powerduring build up and breakdown periods, thisneeds to be booked in advance whenordering stand power.

Emergency Procedures

Please make yourself and your staff aware ofthe ExCeL emergency procedures as detailedin Annex A.

Expulsion of Persons

The Organisers have the right to expel anyperson whose presence in the Show is, in theiropinion, prejudicial to the interests of the Show.

Fire Regulations

Please note there is legislation in force whichrequires all standholders to have a fire riskassessment for their stand.

There are strict regulations governing thematerials that may be used in the constructionof stands and in the demonstration of products.Materials should comply with British Standardscurrently in force.

Stands will be inspected during build-up andthe fire safety officer may remove any offendingmaterials, or close down a stand if they do notcomply with regulations. Exhibitors shouldensure that their contractor is aware of therestrictions. Please refer to the eguide athttp://www.aev.org.uk/e-guide

Auxiliary officers patrol the hall throughout theshow tenancy.

Gangways

The gangways used in the venue are theminimum permissible by law. Under nocircumstances will exhibits, stand dressings,tables & chairs etc be allowed to encroach ongangways. Additional charges may be levied onsite for occupying any space outside of yourallocated area. Please keep your exhibits insideyour stand at all times.

Storage – no excess stock, literature orpacking cases may be stored around or behindyour stand.

Naked flames – use of naked flames aresubject to approval and appropriate inspectionsand tests. Notice of such displays must besubmitted 35 days in advance of tenancy.

Standholders must comply with the standconstruction and electrical regulations issuedby ExCeL London and the Local Authority.These regulations must be strictly observedand any Standholder who fails to do so herebyindemnifies the Organisers of the Show againstany claims or expenses arising out of suchfailure. Fire extinguishers are provided in the exhibitionhall. Standholders must ensure that standpersonnel are conversant with their use and areaware of the position of the nearest fire alarmpoint.Please note all relevant certificates should beavailable for inspection by the Fire Officerwhose decision is final with regards to all FireRegulations.

First Aid

The Medical Treatment/First Aid Room issituated at Level O adjacent to boulevardentrance S4 - telephone number 020 70695556 or in an emergency 020 7069 4444 (or4444 from a hall phone).

Furniture

The official furniture contractors are GES Ltd –contact details and a link can be found on page5.

Hazardous Waste

The Environment Agency has HazardousWaste Regulations. As a result, all hazardouswaste leaving the venue must be separatedfrom normal waste, properly recorded anddisposed of correctly. This is a time-consumingand expensive operation. Therefore, anyhazardous waste must now be either removedby the organisers/contractors or by ExCeLcleaning service partner by prior agreement.Hazardous waste includes: lights bulbs,fluorescent tubes, electrical equipment andfittings, gloss and emulsion paint and emptypaint containers, cooking oils and their empty

containers, aerosols (full or empty), oils andlubricants, oily rags. A fine will be leviedagainst anyone disposing of hazardous wasteinto the normal venue waste system. Pleasenote pre-booked waste clearance services aremore economical than financial penaltiesimposed for waste left/abandoned on site.

Health & Safety & Risk Assessment

Under Health & Safety legislation, tradeexhibitors and their contractors are responsiblefor all activities that take place on their standthroughout the event and any actions that couldaffect others not on their stand. This includesproviding risk assessments and methodstatements (where necessary), as well as thebriefing, communicating to and controlling alltheir sub-contractors who work on their stand.The risk assessment should include anymeasures in place with regard to Covid-19The Kennel Club is committed to providing,maintaining and promoting, so far as isreasonably practicable, the highest standardsof health, safety and welfare at our events. Alltrade exhibitors and contractors at DiscoverDogs are expected to ensure that theyprovide a safe place and system of work, asis their legal duty under HASWA 1974.Successful safety management requires thecommitment, involvement and co-operation ofall those on-site at an event. All tradeexhibitors must take note of all health andsafety documentation and ensure that acopy of their company’s Health and Safetypolicy is available for inspection ifrequested at Discover Dogs 2021 (forcompanies with 5 or more employees).

All trade exhibitors must complete theonline Health and Safety Assessment by15th October athttps://www.surveymonkey.co.uk/r/DD19Healthandsafety???????

Trade exhibitors with any items of specialrisk must forward a copy of their riskassessment and fire risk assessment to theorganisers at least 30 days prior to the

show. If you do not have any items ofspecial risk you must still fill in the aboveonline Health and Safety Assessment.

Items of special risk include:-● Stepped access, ramps and balustrades.

● Requirements where provision is made forclosely seated audience of more than 15 andless than 200 people.

● Preparation of food (including any cookingfacilities on stand)

● Presence of dogs on stands

● Where there will be items of special riskrequiring specific approval (eg motorsvehicles, pharmaceuticals, flagpoles, smokeeffects, flammable oils, liquid and gas,compressed gas/acetylene/LPG, hotsurfaces, radio active substances, lazerbeams, fumes and smoke, workingmachinery including hand held electric orcompressed air tools, water, waterequipment, laser products, audio visualdisplays and films)

● Hazardous substances (COSHH)

● Crowd safety management, eg publicparticipation activities.

● Hands on Treatments (massage, nails etc)or other non invasive hands on treatments(N.B. a minimum 35 days turnaround isrequired on any application for a temporarySpecial Treatment Licence.)

It is the responsibility of all trade exhibitorsto be aware of and adhere to the currentHealth and Safety legislation.

a) Accident Reporting and First AidThe Kennel Club investigate all accidents and‘near misses’ that occur on site and we expectthe cooperation of trade exhibitors andcontractors in investigating the true causes ofany accident in order to try and preventreoccurrence. All accidents and near misses

must be reported to the onsite organisers’office. All contractors are to comply with theRIDDOR regulations 1995.

See First Aid on page 12 for details of medicaltreatment room.

b) ChildrenChildren aged 16 and under are not permittedin the halls during build up and breakdown forhealth and safety reasons. Exhibitors arereminded that children associated with theirstand must leave at the end of the open period.Please note there is no crèche facility at theshow.

c) Drugs and AlcoholMisuse of drugs or alcohol can severely affectjudgement and physical response to givensituations in the workplace; this can result insafety performance being impaired andaccidents occurring. Any person found to beunder the influence of alcohol or drugs will beasked to leave the site immediately.

d) Emergency ProceduresPlease can you and your staff/contractors readand understand the ExCeL Emergencyprocedures.

e) Fire SafetyPlease see fire regulations on page 12

g) Hazardous SubstancesThe control of substances hazardous to healthregulations 2002 (COSHH) is intended toremove the problem of ill health caused by theexposure to hazardous substances at work.The definition of a substance that is hazardousto health is any substance that legally has to belabelled as “very toxic”, “toxic”, “harmful”,“irritant” or “corrosive”. If you, or yourcontractors, intend to use such substances youmust carry out a written risk assessment, underthe COSHH regulations and send a copy to theorganisers at least 30 days before arriving onsite with the substance.

Any company wishing to bring pharmaceuticalproducts to display on their stand must inform

the organisers of their intention by filling in therelevant part of their risk assessment and returnbefore arriving on site and making sure that therelevant COSHH data sheet is readily availableat all times during the show.The organisers reserve the right to removeanything from a stand that they deempotentially hazardous. This will be done at theexhibitor’s expense.

g) Manual HandlingThe law requires that, as far as reasonablypracticable, you should avoid the need toundertake manual handling operations whichinvolve a risk of injury and appropriate stepsare taken following a risk assessment to reduceany chance of injury to the lowest levelreasonably practicable.

h) Working at HeightStandholders and their contractors shouldmake themselves aware of the legislationregarding working at height. Additionalinformation can be obtained fromhttp://www.hse.gov.uk/work-at-height/the-law.htm

i) Risk Assessment and GuidanceALL exhibitors must undertake their own riskassessment. If you are planning an item ofspecial risk then you must submit a copy ofyour risk assessment to the Organisers at least30 days before coming on site. If you do notplan a special risk activity you should alsocomplete the online health and safety formathttps://www.surveymonkey.co.uk/r/DD19Healthandsafety

You do not need to submit your riskassessment but please be aware that wemay ask to see your risk assessment on siteif an incident occurs. As exhibitions andevents are deemed as hazardousenvironments, it is a legal requirement that allexhibitors and contractors undertake a suitableand sufficient Risk Assessment prior to theshow, listing the tasks and identifying the mainhazards that each presents on site and devising

ways to eliminate, reduce and isolate or controlthose hazards. A trade exhibitor is liable toheavy fines, prosecution and evenimprisonment should it be found to be negligentin the event of an accident to its staff andvisitors if suitable control measures are not inplace.

A Risk Assessment should cover all hazardsarising from work practices on site includinglifting, PPE, fire controls, exhibitors and/ordemonstrations, COSHH, RIDDOR, fumeextraction, hazchems, noise etc, especially if itwould affect neighbouring stands, visitors etc.Shell Scheme exhibitors are required toundertake a suitable and sufficient RiskAssessment which should include all workpractices, hazardous exhibits and the risksfound on site.

Please refer to a sample Risk Assessment(Appendix D) and notes for guidance.

Insurance

Standholders' attention is drawn to the followingtwo clauses and they are strongly advised toconsult their Insurance Company to insurethemselves fully against all risks.

Postponement, Abandonment, Strikes, etc.

a) In the event of:either (i) all or part of the Show beingcancelled, postponed or abandoned or beingheld either wholly or partly in premises otherthan ExCeL London or (ii) the failure orcurtailment of any supplies, services orfacilities afforded to Standholders, due to anycircumstances beyond the reasonablecontrol of the Organisers including withoutlimitation strikes or lockout acts of god, actsof terrorism, fire, flood , storm, explosion orepidemic and/or disease (including but notlimited to foot and mouth disease) orcompliance with law or government orderrule or regulation (Force Majeure) , theOrganisers shall not be under any liabilitywhether in contract, tort or otherwise in

respect of any expenditure, liability, damageor loss sustained or incurred byStandholders as a result thereof and shall beentitled to retain or recover all sums paid orpayable to the Organisers or suchpercentage thereof as the Organisers may intheir absolute discretion consider necessaryto cover the expenses incurred in connectionwith the Show.

In the event there is COVID-19 DISRUPTIONas defined below resulting in a cancellation ofthe event, behind closed doors or reducedcapacity requirement the obligation to pay theTrade Stand fee in line with the payment datesshall continue, however, the Organiser mayagree at its discretion to review the TradeStand fee in terms of a refund, reduction, creditor discount with a view to alleviating the effectsof Covid 19 disruption as may be fair,reasonable and practicable.

“COVID-19 Disruption” means any new orcontinued implementation by the UKGovernment of societal lockdown and socialdistancing measures (which shall meanrestrictions being placed on how and whenindividuals may leave their homes, the forcedclosure of exhibition venues and the prohibitionof mass gatherings) resulting from theCOVID-19 pandemic affecting the UK during aone month period before the first day of theevent.

b) Without prejudice to the generality of theforegoing the Organisers shall not be liablewhether in contract, tort or otherwise for anyloss, damage or expenses which Standholdersmay sustain or incur by reason of:-

I. The London Borough of Newham and/orany other Authority intervening and preventingor restricting the use of the Show premises orany part thereof in any particular manner, or

II. any strikes, lockout, industrial disputesor labour difficulties.

III. If the event is postponed for any reasonof Force Majeure and is rescheduled for a laterdate then all the terms and conditions of thisagreement will apply to it on such rescheduleddate.

Liability of Standholders and Organisers

i) The Organisers shall not be liablewhether in contract, tort or otherwise for anyloss, or damage whatsoever caused to theproperty of any Standholder, hissub-contractors or his or their visitors, servants,or agents, except to the extent that such loss ordamage is caused by the negligence of theOrganisers, their servants or agents or either ofthem.

j) The Organisers shall not be liablewhether in contract, tort or otherwise for deathor personal injury caused to any Standholder,his sub-contractors or his or their visitors,servants or agents, except to the extent thatsuch death or personal injury is caused by thenegligence of the Organisers, their servants oragents oreither of them and to the extent such liabilitymay not be excluded as a matter of law.

k) It is a condition binding upon eachStandholder that he shall hold the Organisersand each of them, their licensors and everyagent, servant or representative of eachOrganiser at all times harmless and indemnifiedagainst all loss, expense, claims, demands orproceedings whatsoever in respect of anydeath or personal injury to himself, his agents,servants, visitors or sub-contractors whetherarising in contract, tort or otherwise except tothe extent that such death or personal injury iscaused by the negligence of the Organisers,their respective servants or agents or either ofthem.

l) It is a condition binding upon eachStandholder that he holds the Organisers andeach of them, their licensors, and every agent,servant or representative of each Organiser atall times harmless and indemnified against allloss, expense, claims, demands or proceedings

whatsoever in respect of injury, loss or damageto the property of the Standholder, his servants,agents, visitors or sub-contractors or anyproperty used in conjunction therewith whetherarising in contract, tort or otherwise.

m) It is a condition binding upon eachStandholder that he will indemnify theOrganisers and each of them against any loss,expenses, damage, claims or proceedingswhatsoever caused to, incurred by, or institutedagainst the Organisers or either of them or anyother person whatsoever arising out of theexhibits or goods of such Standholder or anyproperty used in connection therewith or anyact or omission of the Standholder, hisservants, agents, visitors or sub-contractors.

n) It is a condition binding upon eachStandholder that he shall indemnify and holdharmless the Organisers and each of them fromand against all consequential losses, costs,expenses, damages or proceedings inconnection therewith howsoever arising and, inparticular, it is expressly agreed that suchindemnity shall extend to all such losses, costs,claims, expenses, damages or proceedingsarising from the failure (howsoever caused) byany stand or exhibition contractor or designer toperform fully all the terms of its contract with theStandholder whether or not such contractor ordesigner is accredited by the Organisers oreither of them.

o) If the Standholder or his servants,agents or sub-contractors should fail to vacatethe premises by 2200 hours on Sunday 21November 2021 due to any cause whatsoever,the Organisers will hold the Standholder fullyresponsible for all losses and expensesincurred by the Organisers as a result of suchfailure.

p) It shall be the responsibility of eachStandholder before he, his servants, agents orsub-contractors enter the premises to ensurethat he has effected adequate liability insurancewith scope of cover appropriate to its activitiesand the venue and the event in respect of any

claim or incident with an insurance office ofrepute and if so requested by the Organisersproduce evidence of such insurance at anytime.

q) Any dispute shall be referred to a singlearbitrator in accordance with the provisions ofthe Arbitration Act 19 and any statutorymodification or re-enactment thereof for thetime being in force

Insurance Companies - Limitations

Stand holders (acting by themselves or throughagents) are not permitted to introduce orpromote pet health insurance companies aspart of their presence at Discover Dogs.

Integrity of Discover Dogs/Kennel Club Ltd(KC)

a)Standholders shall ensure that it and any ofits employees, agents or sub-contractors willfamiliarise themselves and have a clearunderstanding of the Kennel Club’s ethos andbusiness as a whole and be aware of andrespect the values and beliefs associated withthe KC and its brand and objectives and actaccordingly.

b) Standholders shall be responsible for theconduct of all personnel and any other personassociated or connected with it. The KCreserves the right in its absolute discretion toexclude or remove from the event any personwhose presence or behaviour is undesirableand/or potentially unlawful, harmful,disrespectful and/or causing a nuisance tovisitors, exhibitors, standholders and/or the KC.

c) Standholders shall at all times act inaccordance with the Trade Stand Rules andRegulations, applicable laws (particularlyConsumer protection legislation), and goodindustry practice.

d) Standholders shall ensure that all personneland any person associated or connected withtheir Company comply with any reasonablerequirements of the KC (and its personnel) inrelation to the event and its operation;

i) it shall not do, or permit any third parties todo, anything that would breach the terms of therelevant licence that KC holds in relation toExCeL London;ii) it shall ensure that its presence at ExCeLLondon and activities thereon do not disrupt theoperation of the event and shall not impede theenjoyment of visitors at the event;iii) it shall not denigrate, defame, obstruct,divert or deter prospective purchasers to anyother trade stand.

e) Standholders shall not do or not do or omit todo anything which may be prejudicial to thegood image of the KC or cause damage to theKC or bring the reputation of the KC or itsmembers and/or visitors into question. Inparticular, the allocation of the Trade Stand ison the basis that all goods/services provided bythe standholder whether at Discover Dogs oroutside the event are not incompatible with orprejudicial to the KC or will have a detrimentaleffect on the event or its sponsors or bring theevent into disrepute.

f) In the event that there is a breach of any ofthese terms and conditions and in particularthat it becomes apparent that the Trade Standdoes sell or promote goods or services whichare incompatible with the ethos of the KCgenerally then the KC reserves the right torefuse the allocation of a trade stand at theevent or any other of its events.

They can assist you with customs clearance,the transport of goods, forklifting and handlingof goods on site.

Livestock

It is prohibited to display any livestock,including birds or fish, but excluding dogs, atthe show.

Lost Property

Lost property should be taken to and collectedfrom the cloakroom at the East Entrance.Following show close items that are notcollected will be taken to the Security Suite andkept for 1 month. Visitors will need to contactthe Lost Property office on 020 7069 4445 tofollow up any lost items. Unfortunately, thecloakroom cannot take any electrical items.

Nameboards

If you have a shell scheme booked, yourcompany name and stand number will besupplied on a standard panel fixed to the frontof your stand. Please fill in the Name Boardform via this linkhttps://ordering.ges.com/000029572/NameboardForm. Please note if you do not complete thisform the trading name on your stand spaceapplication form will be used and any changesrequired on site will be charged.

Pharmacies

The nearest pharmacy is Custom HousePharmacy, 17-19 Freemasons Road, Newham,E16 3AR – tel 020 7476 2254 – located at theother side of the tracks to Custom House DLR.

Photography, Filming and Interviews

The taking of photographs in the exhibitionpremises for sale or reward is strictly prohibited,except with the written permission of the

Organisers. The Organisers reserve the right,at their absolute discretion, to confiscatecameras and/or films for infringement of thiscondition.

It is prohibited at Discover Dogs to film or takephotographs to be used in any commercial,promotional or advertising materials.

For the purposes of this Rule, Discover Dogs inLondon comprises all the halls, associatedrooms and areas hired by the Kennel Club andsubject to their Rules for the purposes of theShow.

By attending Discover Dogs you consent tobeing filmed/recorded as part of the show forsecurity and broadcast (now known orhereinafter invented without payment).

Piped Services

If you require water and waste or pipedservices see details on page 5.

Post Office

The nearest post office is at Freemasons Road,Opp Custom House DLR Station, 5 minuteswalk from ExCeL West.

There are also post boxes located at westand east side of venue by taxi drop off points.Stamps can be purchased from Whistlestop onthe boulevard.

Prohibited Products

Please note sale or promotion of the followingproducts are strictly prohibited at DiscoverDogs:All electrical shock training devices. Prong &pinch collars. Hushers. Show stackers.Dog-o-matic washing machines.

It should also be noted that dogs should not beadorned with items of clothing or accessoriesunless it is for purely functional purposes, suchas to keep a dog warm. Anything which couldpotentially cause a dog frustration, distress,irritation or harm cannot be endorsed by the

Kennel Club or advertised in any of itspublications.

Furthermore, dogs on stands should not bedyed for exhibition purposes at the show.

Public Address System

The public address system at the exhibition isfor organiser’s official announcements andpolice messages only and is NOT available foruse by standholders or visitors under anycircumstances.

Public Relations

The Press Office will be staffed from 0900-1800on 20 and 21 November. Our Press Officewould like to receive advance notice of anyevents, celebrity visits or other newsworthyitems planned by exhibitors.

Security

The security provided by the organisers isdesigned to prevent unauthorised access to thehall and not to secure the contents of yourstand. There will be internal security patrols,but the organisers cannot accept responsibilityfor any loss, damage or accident and it is theresponsibility of the stand holder not to leavetheir stand unattended while the hall is openand to take precautions to protect theirproducts.

Our appointed security company will bepleased to discuss your concerns – theircontact details are on page 6.

IMPORTANT: any static security guards ontrade stands need to hold a licence issued bythe Security Industry Authority (SIA) – please

contact the organisers or ExCeL security forfurther information.Please note that to assist with the security ofthe show all persons including contractorsrestocking in the evening will be required towear a valid wristband prior to entering the halls

Shop

There is a shop on the Boulevard selling usefulitems such as tape, extension leads, etc.

Smoking Policy

Smoking is not permitted in any area of theVenue. Designated smoking areas are providedin external areas.

Sound Recordings

If you wish to play sound recordings on yourstand, permission must be obtained from theorganiser following which a licence will need tobe applied for from PPL/PRS. This also appliesto background music via a video, DVDs, PCs,iPads, etc.

Stand Fitting

"Island" site refers to an area, which has agangway on all four sides.

"Other" site refers to an area that is either onthe perimeter of the hall or is joined to anotherstand. "Other" sites are divided into threecategories:

i) Other (1) - open on one side only.ii) Other (2) - open on two sides.iii) Other (3) – open on three sides

Please ensure you book enough space forall your stock and displays, as overflowingof space into the gangways and behindstand will not be permitted under anycircumstances. If this does occur there may

be charges for additional space levied onsite

N.B. We do not offer partially open sides. i.e. ifpanel is removed then this will count as full sideopen and be charged accordingly. Panels mustonly be removed by the official contractor.

IMPORTANT FOR SHELL SCHEME STANDS-Please do not staple, pin screw or nail fix intoany part of the wall or fascia panels. Permittedmeans of fixing are:

● Double sided stick pads● Hook and loop velcro● Panel Brackets● Hanging chains and hooks

All of these fixings will be available from theGES Service Desk located in the hall near theorganiser’s office.

Should any damage to your stand be foundfrom unpermitted fixings, a charge to replacematerials may be made.

Please be aware that no items are to be fixed,attached or suspended from the fascia, celinggrid or poles of your stand as this could affectthe structural integrity. Some parts of yourstand are not designed to be weight bearing.

GES are happy to provide help and advice soplease consult with a member of their team ifyou wish to use these parts of your stand.

In order to meet the safety requirements of theVenue and Local Authority and to assistexhibitors with their administration, the followingtypes of stands will be permissible:-

a Island sites – space only - independentstand designs

These must be arranged through aprofessional stand contractor of the TradeStand Holder's choice. Full details, includingthe name of the company to be used and plansand visuals along with RAMS documents mustbe submitted to the organisers by 1st October2021. If this information is not received by thedue date, the Organisers reserve the right to

arrange for a modular shell scheme to beerected on the relevant site and the standholderwill be invoiced accordingly.

NOTE: Stand Holders are advised to usecontractors which are members of ESSA (EventSupplier and Services Association).

Stands or any other structures, exclusive of anysigns and fascias, must not exceed 3 metres inheight (and any signs or fascias must not riseabove a height of more than 1 metre above themain structure). Fascias and signs on standsmust not project over gangways.

Please also note the following frequent spaceonly non- compliant issues that need to beavoided:

● Thickness of glazing (the minimum thickness ofa pain, based on its horizontal and verticaldimensions can be found on page 129 of theAEV eGuide, point 105 ‘Glazing’, sub-section‘Construction Materials’, section ‘StandConstruction’). Please note that if either thehorizontal or vertical dimensions of any bandare exceeded, the pane must be judged on thenext band up; therefore it is not a measure ofsquare area.

● The absence of vision panels in storeroomdoors.

● Non-complient stepped access.

PLEASE NOTE:

A. Stand Holders are not permitted totransfer, share or sub-let the whole or any partof the space allotted to them or to allow anyportion of their stand to be used by any othercompany, firm or individual for business or anyother purpose whatsoever.

B. Standholders must not exceed the areaallocated to them or erect any structure abovethe height limit of the modular shell framework.Any exhibitor with any goods or displaysoutside of their allocated area will be liable toon the spot fines and may be asked to leavethe show.

C. Stands without platforms must have asuitable floor covering acceptable to theorganisers on those areas visible to the public.Where independent stands are constructed,floor covering must be supplied and laid by aprofessional contractor. Sides of standsbordering the public gangway must be properlydelineated. If this regulation is not compliedwith the organisers reserve the right to arrangefor carpet to be laid on the relevant site and thestandholder will be invoiced accordingly.Standholders should be aware they areresponsible for adequately avoiding triphazards on their stands which may be causedby items such as cabling, pipework and ramps.

D. All doors shall be provided with a visionpanel of clear glazing, giving a zone ofVisibility spanning from 500mm to 1500mmabove floor level see eguide for details viahttp://www.aev.org.uk/e-guide

E. All trade stands must display the nameand stand number of the stand in a prominent

position. All notices displayed on stands mustbe professionally executed.

F. All stand walls visible to the public mustbe finished and decorated to an acceptablestandard.

G. Standholders are warned that workundertaken by the standholder, his contractorand sub-contractor, if any, in connection with:i) The construction, assembly, erection,display, decoration and dismantling of his standshall be carried out in accordance with theterms of the eguidehttp://www.aev.org.uk/e-guide

ii) The preparation, assembly, erection,maintenance and dismantling of electricalequipment shall be carried out in accordancewith the terms of the eguidehttp://www.aev.org.uk/e-guide

H. Any person reported carrying out workcontrary to these regulations will be instructedto stop immediately and, at the discretion of theorganisers, asked to leave the building.

I. The organisers reserve the right, if astand is not up to the standard expected at theshow to ask the standholder to vacate the showor replace the stand with a modular shellscheme stand at the stand holders expense.

J. Show Sponsors are only permitted rigany items above their stands.

K. Platforms and stages over 0.6m in heightand all platforms and stages for public use (notincluding stand floor flats and platforms)constitute a complex structure for whichadditional information and sign off by astructural engineer is required – please contactthe organisers if you are planning this on yourstand.

L. Nothing should be attached to the shellscheme which could leave any damage to thestructure – which will be chargeable to thestandholder.

Stands - Management

a. Nothing shall be exhibited or sold at theShow:-

I) Which has not been described in detail on theapplication form by the Standholder. If at anytime you intend to sell products on your stand,not listed on your application form, pleaseinform the Kennel Club in writing, to obtainpermission.

II) Which can be considered detrimental to thewelfare of an animal in any form.

III) Which contravenes in any way KennelClub Regulation F(B) – Preparation of Dogs forExhibition.

b. Standholders will not be permitted to put updecorations or to display or distribute samples,advertisements or other printed matter, takephotographs, or in any way to conduct theirbusiness except upon their own stands.Leaflets must not be distributed in thegangways. Collections for Charities or similarbeneficiaries may not be made from standsunless prearranged with the organisers.

c Standholders will not be permitted to sellor give away balloons of any description unlessprior permission has been obtained from theOrganisers. Balloons must also not be used forform part of a stand.

d Details of all competitions andpromotions, and the conduct of surveys orpublic opinion polls by Standholders at ExCeLmust be submitted in writing to the Organisersfor their permission. The Organisers reservethe right to prohibit or remove at any time anycompetition, promotion, survey, public opinionpoll, advertisement or decoration or otherprinted matter to which they may take objection.

e Discounts or "Show Offers" may bemade but must apply throughout the period ofthe show.

f Reproduction of the words DISCOVER

DOGS”, "DISCOVER DOGS", "DISCOVERDOGS IN LONDON", "THE KENNEL CLUB","THE YOUNG KENNEL CLUB (YKC), “THEKENNEL CLUB GOOD CITIZEN DOGSCHEME”, “CRUFTS”, “THE KENNEL CLUBCHARITABLE TRUST”, “SAFE AND SOUNDSCHEME”, “SCRUFFTS”, ASSUREDBREEDER SCHEME, the Logo of theforegoing, any combination of these words ordevices and the word "SOUVENIR" inconjunction with any of the foregoing isprohibited unless a Product Licence Agreementhas been granted by the Kennel Club. Thisregulation applies both to items offered for saleand articles or documents intended to be givenaway or distributed free of charge includingbags, wrappings, etc. Any infringement of thisregulation will result in legal proceedings.

g Exhibitors are responsible for the goodorder and cleanliness of their own stands.

h Stands not complying withregulations. If a Standholder causes to beerected a stand which does not conform fullyand in all respects to the regulations andrequirements of the Organisers, ExCeL and theLocal Authority (see the eguide atwww.aeo.org.uk/eguide) the Organisers shallbe at liberty, at their discretion, to enter on aStandholder's stand and to alter, demolishand/or reconstruct the said stand, so as tomake it conform to the regulations andrequirements aforesaid. The Standholder shall,on demand, repay to the Organisers allexpenses incurred by them in respect of suchalteration, demolition and reconstruction.

i Expulsion of articles or exhibits. TheStandholder on being so required by theOrganisers shall remove from any stand or fromthe Exhibition Hall, any article or exhibit whichin the opinion of the Organisers contravenesany of these regulations or is dangerous,undesirable or unsuitable to be exhibited on thestand.

The Organisers, whether or not they shall firsthave required the Standholder to remove any

such article or exhibit, shall be entitled at theirabsolute discretion without notice and withoutincurring any liability to remove such article orexhibit from the stand or from the ExhibitionHall and shall be under no liability for the safetyor custody of such article or exhibit.The provisions of this Regulation shall apply inrespect of any article or exhibit notwithstandingthat such article or exhibit may have beenproperly described on the Standholder's officialform of application for space.

If you intend to sell items with animal fur thenyou must have with you, at the show, proof ofthe providence of the fur and any relevantdocumentation/licences to prove that they meetDEFRA regulations regarding the prohibitionsand restrictions on the import of animal furs andskins into the UK. If you are challenged and donot have the relevantdocumentation then you will be asked toremove the items from sale and if you do notcomply we reserve the right toclose the stand down. j Standholders must comply with allapplicable By-Laws, Rules and Regulations ofany authority for the time being havingjurisdiction over premises or conduct of theshow.

k Product demonstrations will not bepermitted unless written approval has beenreceived from the Events Manager. Thisregulation also applies to the use of PAsystems on stands.

l The organisers will not guarantee anyform of product exclusivity under anycircumstances.

m All items on stands must be suitablypacked to prevent odours which may causeoffence to visitors and other exhibitors

n Stand holders must be vigilant of healthand safety issues relating to stand stability.Leaning of objects or persons against the standwhich may impair stability or cause a failure ofthe structure is prohibited.

Telephones/IT Lines/Internet/Wi-Fi – seeIT/Communications

Use of your data.

As a contractual necessity we need to shareyour details with the contractors who will supplythe exhibition procurement and services –those contractors agree to comply with DataProtection legislation and i) to use data only forthe specified purposes ii) not to share withThird parties if unauthorised and withoutconsent and iii) to hold data safely andsecurely.It will also be retained for the purpose ofsending stand re-booking information for nextyear’s show and to inform you about tradingopportunities at other Kennel Club events.

Warning!

Exhibitors are being targeted by companiesclaiming to be, or work with, eventorganisers. They use existing event brandingand may appear genuine. In the past this hasincluded directories and hotel bookings butcompanies are now also claiming they cansell visitor data from events. This is not thecase.

Exhibitors need to be vigilant, read the smallprint, inform their exhibition, marketing andfinance teams about the risk of scams andcheck with their organiser if they receiveanything they are not expecting or are unsureof.

Organisations such as Event Fair,FairGuide.com/Construct Data Verlag, ExpoGuide (Mexico) and International FairsDirectory (Portugal) are targeting exhibitors withtheir misleading directory services.

Wastage Charge

As part of ExCeL’s commitment to sustainabilityin the exhibition industry the following wastagecharges will apply to all stands and be added toyour invoice:-

Stands less than 10m2 - £10.00 + VATStands 11m2 – 20m2 - £15.00 + VATStands 21m2 and over - £20.00 + VAT

Waste Disposal (Post Show) and Cleaning

Please note that charges apply for any itemsleft from stands in the hall after tenancy ends(including carpet tape so please ensure youuse approved tape). ExCeL encouragespre-arranged methods for disposal of exhibitionitems which can be arranged by tradeexhibitors in advance (and whilst on site). Thiswould alleviate any penalty costs for wasteremoval from the halls post-show to tradeexhibitors. Please see contact details on page6.

Definitions

In these Regulations, the term "the Contract"means the contract to be entered into betweenthe Organisers and the Standholder. The term"Standholder" includes any person, firm,Company or Corporation and their employeesand agents to whom space has been allocatedfor the purpose of exhibiting at the Show. Theterm "Show" in all cases refers to DiscoverDogs in London 2021. The term "Organisers"in all cases refers to The Kennel Club Ltdand/or Discover Dogs in London 2021Committee. The terms "the Hall", "ExhibitionHall", "Premises", in all cases refers to thatportion of ExCeL London and ground licensedto the Organisers for the Show.
