User manual for suppliers to fulfill and return the BSH declaration request using an interactive PDF.

Material declaration request via interactive PDF

Requirement to fulfill the declaration request via interactive PDF:

� Web browser (e.g. Internet Explorer, Chrome, Firefox etc.)

� Installed and activated ADOBE Acrobat Reader!

Please note: Some new web browsers have their own PDF reader. Maybe this PDF viewer cannot display the interactive PDF in the right form. In this case you have to enable the Acrobat Reader.

You will receive a declaration request from BSH via email in your mail box. Enclosed you will find the interactive PDF.

Open the PDF with a double click.



� The interactive PDF is able to record and process 50 material numbers to the maximum. If you will receive more than one emails on declaration request in your mail box, please note, this is not due to a multiple mailing process!

� Each material declaration request includes a so called request number, which you can see in the subject matter of the email:

� RoHS/REACH SVHC material declaration request 000000suppliernumber_001


� If you will receive more than one declaration request, you could be aware of that accordingly tothe request number. This number will be listed consecutively:



� If you will receive 3 declaration requests for example, it is important to send all of them back toBSH responded to the request. Only by acting accordingly the declaration request can beclosed in our system.

Important hint: Please finish all declaration requests completely and send them back separately.


� In case you use a Webmail account (not outlook), please open the interactive PDF, store it to your local drive.

� Open the interactive PDF from your local drive and fill the declaration request.


� After completion of the declaration request save the interactive PDF again on your local drive.

� How to send back the PDF is described explicitly on page 31 – 34.

How to fill the RoHS declaration table


Please choose the EU RoHS declaration status in the drop down menu.

After choosing the “EU RoHS declaration status”, you will be prompted to fill the marked data fields.



When you set the status „Compliant without exemption“, no more input is required.


Set the status „Compliant with exemption“, then you have to select the RoHS exemption via drop down menu.

In case you have to declare an exemption, which is not included in the drop down menu, choose the status „X“.



In case you have a product with more than one EU RoHS exemption, you can add more exemptions. To add an exemption use the button „ADD“. Then a new line will appear and you will be able to set an additional exemption.



After adding a second (or more exemptions) you will find for each new RoHS exemption a new line in the PDF.

If you want to delete the additional exemption, use the button „DEL“. The line and the entry will disappear.



Setting the status „Not RoHS compliant“, you have to declare the “RoHS restricted substance”. Use the drop down menu and select the restricted substance.


In case that the supplied product is not designed to be part of an electrical product (home appliance), then you declare the status „Not RoHS relevant“. When you select this status no further activity is needed.

How to fill the REACH declaration table


Please select the status according to SVHC is present in the product or not, in the drop down menu.

[1] Yes: you have to declare the SVHC name and the CAS number.

[2] No: no further activity is needed.

After choosing the status “Yes” in the field “SVHC present” you will be prompted according to the marked data field, to fill the SVHC name using the pull down menu. The CAS number will appear automatically, if available.



After selecting the SVHC present status “No”, no further activity is needed.

Hint: You can type directly in the field „SVHC present“ n or y.

With this entry you can choose faster the status without using the drop down menu.

In case you have choosen the status „Yes“, but you rather want to select the staus „No“, confirm the remark in

the pop-up field and place the status „No“ afterwards.



In case you have selected the SVHC present status “Yes”, you will be prompted to fill the marked data field (SVHC name).



Use the drop down menu and select the SVHC name.

Hint: You can scroll into the drop down menu and select the SVHC name or you type in the first letter / number of the SVHC

name in the drop down menu. Than you will find easier the specific SVHC name.



In order to display the complete name of the respective SVHC, move the mouse to the SVHC name. A pop-up will show you the complete name of the respective SVHC.



After selection of the SVHC name, the CAS number will appear automatically, if available (some SVHC substances hold several numbers or not any).

Hint: Please be aware that not each SVHC name has a CAS number behind.

In this case the data field “CAS number” will remain empty.


In case you have a product with more than one REACH SVHC substance, you can add substances of the candidate list.

To confirm your material declaration please enter your name in the data field „Name of draftsman“.

Afterwards, please check the declaration.

Using the button „Check data“, an internal check will run and proof your entries or detect missing entries.

For each case (data in RoHS and REACH) you will get a separate pop-up, which will inform you whether the data is complete or not.


If the check detects missing data you will get a pop-up with the hint, in which declaration table (RoHS or REACH) the missing data is detected.

After pressing „OK“ in the pop-up the REACH table will be checked.

Click „OK“ and go back to the table ROHS and/or REACH in order to complete the missing data.

After the rework of all detected missing entries, please run the check again.

If the check is successful, a pop-up “declaration is complete” will appear.Please confirm this by pressing the „OK“ button.Afterwards the send data button is open for use.



After confirmation of successful check the “Send data” button is enabled.

Press the “Send data” button to return the interactive PDF to BSH.

Selection of email application:

After pressing the “Send data” button a pop-up will appear and ask you, how you would like to send the PDF.


1. Please choose “Default email application” for (in this case) Microsoft Outlook .

2. With a standard Webmail box of a provider like GMX, Google, etc.

you will not be able to send the

PDF back to BSH directly.In this case please follow the stepson the last slide.


After pressing button “Continue”, default email application will open. The interactive PDF is automatically attached.Please press button “Send” and the PDF document will be send to BSH.There is no need of any further remarks, additional information or attachments, because the interactive PDF will be edited automatically.After sending the mail you will receive a confirmation mail. The declaration request is closed.

Procedure for default email application (Outlook):



Procedure for Standard Webmail account:

1. Open your standard Webmail account

2. Open „Send new email”

3. Attach the filled interactive PDF, stored on your local drive, to the email.


4. Use exclusively the following mail address to send the declaration back to BSH:

[email protected]

After sending the mail and storing the declaration data in the BSH System you will receive a confirmation email from BSH.

This procedure could last a few minutes. In case that you have received several interactive PDF to declare, the confirmation email will be sent after the return of all PDF.

The declaration request is closed.
