WELCOME TO THE 2016 DEVIZES EISTEDDFOD Welcome to the Devizes Eisteddfod 2016, our biggest event ever as this year the festival will take place over three days - Friday, Saturday and Sunday 11, 12 and 13th November. 2016 is a special year for us as we celebrate our 70th anniversary with a record number of classes covering music, speech, drama, literary, handwriting, art, photography and, for the first time, dance. Sunday 13th November will be given over to a dance festival at Lavington School which we hope will become a regular feature in future Eisteddfod events. Altogether listed in this syllabus are some 212 different classes which we sincerely hope will prove attractive to competitors. In view of the range of classes it is expected that on each day sessions will run into the evening. Wherever possible evening classes will be devoted to older competitors. For the past two years the Festival Concerts have been held on a different date from the Eisteddfod itself and this year we will continue this arrangement with two concerts on Saturday, 26 November at 3pm and 7pm for those people who have done especially well at the event. As we cannot hope to present all the class winners within these two concerts, we will again be presenting two extra winners’ concerts in January and February 2017 so that, where possible, all class winners will have the opportunity to perform their winning items again in public. Details will be announced later. SAFEGUARDING POLICY• The Eisteddfod is run by volunteers with professional input from adjudicators and

accompanists. All personnel are recruited by personal recommendation.

• Each volunteer on duty will wear a badge, and any one of them can be approached at any time in case of a problem; they will attempt to deal with it, or will indicate the responsible person.

• Children are entered into the Eisteddfod by a parent, guardian or teacher who provide their signature and thereby agree to uphold the Eisteddfod’s policy. This policy requires that all children remain the responsibility of their parent, guardian or teacher and should be accompanied at all times by that responsible adult. If the person who has signed the entry form is not personally present the Committee requires them to be satisfied that their child(ren)/pupil(s) will be accompanied and supervised by another responsible adult on their behalf.

• The Eisteddfod is held in numerous venues around a busy town centre and all sessions are open to the public. The responsible adult supervises children moving between the performance venues at all times.

• No photography or recording of any kind is permitted at the Eisteddfod, except by official Eisteddfod photographers (who will wear a badge) or the Press (by arrangement). If any parent or teacher does not wish their child to be photographed then it is their responsibility to ensure they do not take part when photography is happening. This can be done by informing an Eisteddfod volunteer, or the MC at the final concerts.

• All venues are accessible for wheelchair users.• For the Dance classes, there will be separate changing areas for boys and girls and

these will be stewarded by a male and female steward. Children remain the responsibility of their parent/teacher/guardian at all times.

Welcome to this, the 70th year of the Devizes Eisteddfod - a very special anniversary and to celebrate this great landmark, we have added yet another day - we just keep getting bigger and I think better, as time goes on! Not only can you come and show off your wide, varied and amazing music, drama and speech talents, but you can now dance your way to an award too. We are delighted to have had the help of Kathy Goodspeed, an experienced organiser of dance competitions, who has helped us in getting the new Devizes Eisteddfod Dance classes sorted and ordered, so that we hope we will be able to give you an

organised and smooth running day of excellent dance performances. The Committee are hugely looking forward to this new addition to the Programme and I hope that you will all give your support not only with your entries but as audience members too.

70 is a great milestone - three score years and 10 and often known as the moment from which you are on borrowed time. This, I know is not the case for this event. I am enormously proud to be involved with a festival which not only gives so many children that crucial opportunity to perform, but which also brings people from all over the county to our town. Devizes is very special in every way, but in particular its cultural events calendar which contains so many special opportunities to bring our community together. I think we sometimes forget how lucky we are to have so many working so hard - usually on a voluntary basis - who make these events happen and enrich all our lives as a result - my thanks and appreciation goes out to all of them - not just on this committee but all those who organise special events in the town.

Winkworth has been open in Devizes for 5 years now and it has been our great pleasure and privilege to be involved with and to support this event. As always however, we need more advertisers and Corporate Member sponsors to keep the event viable and flourishing. If you would like to help by supporting the event, to whatever degree you can please contact us - you can become a Friend if sponsorship is not for you - every little helps! And to all competitors out there please enter generously and let’s make the 70th Year a year to remember!

HELPERS PLEASE!The Eisteddfod can’t run without our team of volunteers

Can you spare a few hours to help us on Friday/Saturday, 11/12 November 2016?

We need help with Room Hosts, Adjudicators’ Secretaries, Door Stewards, Runners and general administration. You can do a morning or afternoon session or all day if you can spare the time. Full instructions and support will be given.

There will be two BRIEFING SESSIONS for the 2016 Eisteddfod in St. John’s Church Parish Rooms, Long Street, each lasting one hour, on the following dates:

It is essential for the smooth running of the event and for the confidence of volunteers that they all attend one of the above sessions.

FESTIVAL CONCERTS 2016This year, the two Festival Concerts will again take place after the

Eisteddfod on Saturday 26 November at 3pm and 7pm in the Town Hall Assembly Room.

Admission to each concert will be free with a retiring collection. Some awards will be made at the end of each concert.

Participation in the concerts is by invitation from the Director and Committee, based on advice from our adjudicators and to give a balanced

flavour of the overall competition.

Invitations will be issued on Tuesday 15 November 2016.

The Devizes Eisteddfod is a charity, run wholly by unpaid volunteers. Without the financial support of a sponsor, corporate members, friends

GENERAL INFORMATION FOR COMPETITORSRECEPTION: COUNCIL CHAMBER, DEVIZES TOWN HALL Please note that this is for Adjudicators and stewards to report and for urgent issues only and on 11/12 November only. All information required by competitors should be found in the Programme. If you have any questions, please ask a steward or go to the….

INFORMATION/FRIENDS DESK: for general enquiries there is an information point upstairs in the Town Hall outside Reception.

ENTRIES AND FEES: Entries and fees must be sent to the address on the Entry Form, and by Friday, 7 October 2016. LATE ENTRIES FOR THE MUSIC, ART, LITERARY AND DRAMA CLASSES WILL NOT BE ACCEPTED. Dance Entries - these will be taken on a first come first served basis until classes are filled or until 7 October 2016, whichever is the sooner. Entry fees cannot be refunded in any circumstances. A separate entry form must be submitted for each entry. Any form with more than one entry on it will not be accepted. To ease administration schools may submit multiple entries on one form for the pre-adjudicated literary classes only. All entries should be attached to the form and a separate list of entrants’ names included. Please ensure they are completed fully and the correct fees paid. PLEASE - NO STAPLES!

CLASS TIMES: a Competitor Entry Card giving details of class time and venue will be sent by post to all entrants by 31 October. The Entry Managers reserve the right to subdivide any class considered too large for realistic adjudication or to merge very small classes, where appropriate.

PROGRAMMES: will be available for collection from Winkworth Devizes, 4/5 Market Place from Tuesday 1st November and will cost £2.00. They will also be available at the Eisteddfod itself. If you would like a programme posted to you please fill in the relevant box on the entry form and include the additional postage and packing cost of £1.50.

OFFICIAL ACCOMPANISTS are available for all classes by advance request on the Entry Form and on receipt of payment. It may be possible through the Entry Manager to arrange for a rehearsal with an Official Accompanist at a fee to be negotiated privately. Accompanist's fees, payable at time of Entry, are £3.50 per entry and are non-refundable. A copy of your music choice for the Accompanist must be sent to the Entry Manager with your entry by Friday, 7 October 2016. An Accompanist will not be allocated to entries without accompanying music and the relevant payment.

Please assist the Official Accompanist as follows: 1. Mark copies clearly with the competitor's name and class number. 2. Indicate speed required by adding (or altering) a metronome mark. 3. If using temporary photocopies, these should be sent in a collated, playable format (no staples please). The official copy must be available for the accompanist on the day of the class.

ELECTRICAL EQUIPMENT (for Musical Theatre classes, if required): All personal electrical equipment taken to a venue must be pre-tested and approved safe (PAT tested) and marked to this effect. This applies to anything that uses a mains socket eg. CD player. A local electrician can routinely carry out the Portable Appliance Test. Set up time for equipment must be included in the performance time.

ADMISSION TO THE 2016 EISTEDDFODAdmission for spectators to the 2016 Eisteddfod will be FREE for the music and drama performance classes on Friday and Saturday. There will be a charge for the Dance Classes of £3 for adults, £1 for children.

PHOTOGRAPHY: This Eisteddfod is bound by copyright law and we cannot allow flash photography, tape or video recording, all of which are forbidden during any performance or adjudication. This is also covered by our Safeguarding Policy. An official photographer may be present in some classes and will be identifiable by an Eisteddfod badge. Photographs taken by the Eisteddfod Photographer will be used for the marketing purposes of the Eisteddfod only and will not be passed on to third parties. Copies of photographs can be made available to parents on request.

AWARDS: wherever possible cups and other awards will be presented at the end of each class. Where an award is made across a number of classes, these will be presented at the Festival Concerts on Saturday, 26 November 2016. All class winners will receive a Devizes Eisteddfod medal except for large groups e.g. Choirs, Choral Speaking and Carol Parties, who will be presented with a plaque and certificate for the whole group.See page 9 regarding invitations to perform in the Festival Concerts.AGE LIMITS FOR CLASSES, RELATE TO ENTRANT’S AGE ON THE 11 NOVEMBER 2016. Please state age in years and months on entry forms. A statement, such as ‘under 15’, is not acceptable. ENTRY RESTRICTIONS: No competitor may enter in more than one group, ensemble, choir, duet or trio, in the same class. Competitors, Choirs etc, may not enter the same piece in two different classes. There is no restriction on the number of classes a competitor may enter.

SCHOOL ENTRIES: Soloists and members of ensembles entered as a School entry, and all members of School Choirs and other School Groups, must be pupils of the School on the day of the Eisteddfod.

DATA PROTECTION: The Devizes Eisteddfod will hold data solely for the purpose of running the Festival.

ORDER OF PERFORMANCE: is decided by ballot and for ease of timetabling. The DE Committee reserves the right to make minor alterations for the smooth running of the Competition.

COMMUNICATION with the Adjudicator in all classes is strictly forbidden. All written communications must be addressed to the Director or General Administrator. In all questions and disputes the Eisteddfod Committee’s decision shall be final. Any immediate issues must be addressed to a Devizes Eisteddfod Steward.

CERTIFICATES will be awarded in five categories as follows:COMMENDED – HIGHLY COMMENDED – MERIT – DISTINCTION - OUTSTANDINGSee page 13 for an explanation of these categories.

CERTIFICATES AND ADJUDICATOR’S COMMENTS SHEETS: may be collected from the Adjudicators’ Secretaries at the end of each class. The Committee will endeavour to have the full list of results available one hour after the end of each class but cannot guarantee this will always be the case. Results will be displayed upstairs in the Town Hall or in the Foyer at Lavington School (Dance Classes). Any certificates not collected at the end of the class will be sent to Reception in the Town Hall Council Chamber (11/12 November only). Those certificatesnot collected by the end of the festival will remain with the Entries Manager for three months after the event and then destroyed.

CERTIFICATES Certificates will be awarded in five categories as follows:

ADMISSION TO THE 2016 EISTEDDFODAdmission for spectators to the music and drama performances on 11/12th November will be free. There will be a charge for spectators of the Dance Classes on Sunday 13th at Lavington School of £3 per adult and £1 per child. Programmes will be available on the door on all three days for £2.00 or from Winkworth House, Market Place, Devizes before the event.

RULES FOR MUSIC CLASSES Entrants are not permitted to communicate with the Adjudicator at any time.

GUIDANCE NOTE: In those classes where a standard rather than an age is indicated, competitors are expected to enter the class appropriate to their current playing standard, regardless of their age. Where a grade is stipulated this is for guidance of standard and appropriateness of the music choice only and not a requirement of entry. Own choice pieces do not have to be from an examination list except in the Piano Solo Classes where pieces may be chosen from the 2016 Syllabus.

ACCOMPANIMENT: No CD accompaniment is permitted in the music classes except Musical Theatre. An Official Accompanist is available on request via the Entry Form at a fee of £3.50 per entry.

COPYRIGHT: The use of photo or other facsimile copies of printed music without the publisher's permission is forbidden as it is against the law. A copy may be made for the Adjudicator, provided the competitor has already purchased an original copy. The photocopy will be retained and then destroyed by the Eisteddfod Committee. No arrangement of music still under copyright is permitted, unless with written consent from the publisher.

PERFORMANCE: It is required that entrants announce their chosen piece before their performance. This is courteous and adds to the interest and enjoyment of the audience.

A copy of the music performed must be provided for the Adjudicator on the day. If using an Official Accompanist a copy of the work must be provided at the time of entry – failure to do so will result in a delay in processing your entry – an accompanist will not be allocated until a copy is received. Please note that introductions and tuning are included in the time limit. The time limits stated are maximum limits not minimum.

The Eisteddfod committee reserves the right to restrict the number of entries in any class or subdivide a large-entry class, in order to facilitate timetabling on the day or to merge very small classes where appropriate.

Failure to comply with the Music Rules may result in your performance being adjudicated but not placed.

SPEECH CLASSESCOPYRIGHT – SPEECH. The Devizes Eisteddfod has entered into an Agreement with the Authors’ Licensing and Collecting Society. This means that entrants do not have to seek copyright permission for any POETRY or PROSE items performed, to a time limit of ten minutes, except for PINTER and DYLAN THOMAS and a number of others, who do not allow their work to be performed. It is the responsibility of the entrant to ensure their chosen author allows their work to be performed in these circumstances. Gesture and movement are not permitted in the speaking of Lyrical Verse or Bible Recitation.

COMMUNICATION CLASSES The BENNETT FULLER CUP will be awarded to the entrant with the highest mark in the Communication classes CO1 & CO2. DRAMA CLASSES The WHARF THEATRE CUP will be awarded to the most outstanding performance in classes MO1- SM3. A DE Cup will be awarded to the most promising performances in the Monologue and Duologue classes.

The printed books must be brought by the entrant and handed to the Adjudicator’s Secretary before performing. In Acting Classes, all extracts should be clearly marked. It is the responsibility of the entrant to make sure the chosen author allows performance of their work. Please make sure you check before entering, as you will be disqualified if you perform an unauthorised work. The following

classes are all own choice – entrants may select a scene from any published play provided the author allows performances of their works and all choices must be suitable for public performance. In Monologue and Duologue classes minimal hand props essential to the action may be used (e.g. fan, bag, handkerchief) but an excessive number will lead to marks being deducted. These are not allowed at all in the Mime classes. Marks will be deducted if the time limit is exceeded. Sound effects or music may accompany the acting offstage but equipment must be provided by the entrant and have an up to date PAT test.

RULES FOR DANCE CLASSESPlease refer to Pages 11-12 for general information for competitors. Entrants are not permitted to communicate with the Adjudicator at any time.DANCE ENTRIES Entries are filed on a first come, first served basis until the classes have reached capacity or by the 7th October, whichever is sooner. In the event of the Eisteddfod being over-subscribed the Committee reserves the right to return any entry that cannot be accommodated. Any competitor withdrawing from the competition should notify the entry secretary before the commencement of the class. In the event of a large entry, the Committee reserves the right to sub-divide any class considered too large for realistic adjudication. To take part, competitors must not attend or have attended, full time dance tuition/school.SPECIAL NEEDS The Eisteddfod welcomes entries from performers who have special needs, but notification of the nature of any condition must be made to the Entry Manager when entries are submitted, in order that adequate provision may be made. To be most beneficial to performers, a full explanation of the condition would be appreciated together with documentary evidence, if appropriate. It is necessary for parents and teachers to be aware of their responsibilities in entering any performers with limited physical capabilities or special needs, bearing in mind the limitations imposed by the stage and surrounding environment.AGE LIMITS for classes relate to the competitor’s age on 11 November 2016. ARRIVAL Access to the changing areas will be allowed up to 60 minutes before the beginning of classes.ACCOMPANIMENT All performers must provide a CD (no tapes or other recording device allowed) set ready to play with the track clearly marked. In addition they should be labelled with the class/number of the entrant and handed to the appropriate steward. The organisers cannot accept any responsibility for the incorrect playing of any CD except when due to equipment malfunction.STAGE The stage and stage wings are out of bounds to all except authorised personnel and those about to perform. Authorised persons are Eisteddfod personnel and one parent/teacher/carer if the child is 6 years or under or with special needs. Parents who refuse to obey this rule run the risk of their child being disqualified.PERFORMANCE ORDER Competitors should perform in the order given in the programme. Any competitors missing at this time are called at the end of the class. Any performer who has insufficient time to change their costume will also be called at the end of the class. No competitor may enter the same class more than once in their own age group for each solo section and twice for each technique in a duet or trio section. A minimum of five dancers constitutes a group. Solo dancers may not be substituted but in the unavoidable absence of a partner, one substitute will be allowed in a duet, two in a trio/quartet and three in a group. Organisers must be warned a minimum of two hours before a class.Performers must be ready to dance thirty minutes prior to the advertised time. Any performer arriving late (excluding costume change) may run the risk of disqualification.ADJUDICATION All performers will receive an adjudication sheet and a certificate showing the class category of their performance. Class winners will also receive a DE Medal. Adjudication sheets and certificates may be collected from reception in the Lavington School Foyer immediately after the class. Unclaimed sheets/certificates not collected on the day may be obtained from the Entries Manager on receipt of an A4 stamped addressed envelope. Three months after the event sheets/certificates will be destroyed.SAFEGUARDING POLICY Please be aware of the safeguarding policy as detailed on page 4 of this syllabus. Signature on the entry form confirms that this policy has been read. When an entry is made by a child under 18 the entry form must be countersigned by a parent/guardian/responsible adult.
