When you choose to hold your Wedding Day, your Civil Partnership or your Renewal of Vows with us. Our Events Team will work with you to make it your perfect day. With years of experience you’ll find we can take your vision and make it happen,
our flexibility comes from being a privately owned and operated hotel.
This beautiful Georgian house enjoys a wealth of history dating back centuries and if only walls could talk you can imagine the conversations with some of its most famous guests - Duke Ellington, George Formby, Gracie Fields and Adam Faith, along with the Beatles
in the 60’s. You can bet they all found it an exciting place to stay!
John Barry grew up here and of course is renowned for his successful music composed for Hollywood movies including James Bond, Born Free and Dances with Wolves,
so it has always been a house where music, memories and magic are the heady cocktail that guests find so intoxicating.
We promise you will find a quality of care and service from the day you start to plan until the moment you say “I do” – our Events team and our Brigade of Chefs will make
sure your perfect day will be just the way you want it to be.

Situated on the outskirts of York, the most romantic city in Europe, we have some perfect choices for your wedding day. The hotel has private gardens for photo opportunities and heaven forbid should the weather not be perfect we can offer a romantic staircase, and private Dining Rooms where you can find roaring log
fires and dramatic floral displays for your photo backdrop.
Our opulent Sandys Richardson Suite is our principal Wedding choice for numbers from 50 to 120 guests with comfort. There is a private bar and gardens so on balmy summer evenings your guests can enjoy drinks on the lawn. Our Courtyard Suite is for smaller weddings - up to 40 guests is ideal. There’s a Courtyard herb garden with a private marquee for your drinks reception and this is a totally secure area for your little guests.
We have two private dining rooms - Andrew’s Drawing Room and the John Barry Suite; the perfect choice for getting together with close friends and family for the Intimate Collection.
Arranging your Civil CeremonyWe are an approved premises for the solemnization of Civil Weddings and Partnerships. We are delighted to offer the following, as guidance only, for couples who are looking for a stylish alternative to the traditional church ceremony or registry office, or simply because it works so
well to have everything under one roof from start to finish! The actual ceremony can take place in the Sandys Richardson Suite for up to 90 guests, or the John Barry Suite for up to 60 guests. The hire of the Ceremony Room at the hotel will be £250.00.
The couple wishing to marry must contact the Superintendent Registrar themselves to confirm the date and time for the ceremony.

Once you have made your reservation with the Registrar, you will receive a letter confirming the date of the ceremony. At this stage you will be advised of the documents required by yourselves and of the fees to be paid and when.
The hotel cannot be responsible for any of the official arrangements with the Registrar for your Civil Ceremony or Partnership.

Rooms are available from 3.00pm so if your wedding is early then we suggest your guests stay the night before, as we are not able to offer an earlier check-in.

Terms and ConditionsTHESE TERMS AND CONDITIONS APPLY TO ALL EVENTS
“Client” means the person purchasing the services. “Hotel” means York Pavilion Hotel. “Services” means the services to be provided by the hotel to the client as set out in the event planner.
CHARGES AND PAYMENTSThe price of the services is set out in the event planner issued by the Hotel. The Hotel reserves the right to amend the price upon written notice to the client in order to reflect any changes in the costs beyond the reasonable control of the Hotel (including changes in VAT rates). The client will be asked to confirm acceptance of the increased price. A non-refundable deposit of £1,000 is payable to secure the booking. A further non-refundable payment of 50% of the total estimated value is payable six months’ prior to the event. The final balance is payable on agreement of final number and details 30 days prior to the event. This is a fixed wedding package and any additional guests will be charged as agreed. If numbers fall below the minimum numbers of the package, there is no allowance made for a reduction.
CANCELLATION BY THE CLIENTThe deposit is always non-refundable and non-transferable. Any cancellations or postponement should be advised to the management of the Hotel in the first instance verbally. All cancellations must be put in writing subsequently. If the cancellation is made with less than six months’ notice then the mid-term payment is also non-refundable and non-transferable. The Hotel strongly recommends wedding insurance cover.
CONFIRMATION BY THE CLIENTThe provisional date will be held for 14 days, by which time we need a signed contract returned and deposit paid. Not less than 30 days prior to the event date, the final numbers and function details must be confirmed to the Hotel for final billing. The booked numbers specified 30 days prior to the function date will be taken as the minimum number to be charged for. There is no refund once final numbers are agreed and final payment made.
AMENDMENTSORCANCELLATIONSBYTHEHOTEL.Should the Hotel for reasons beyond its control, need to make any amendments to the Contract, it reserves the right to offer an alternative choice of facilities. The Hotel may cancel the Contract if the booking might in the reasonable opinion of the Hotel, prejudice the reputation of the Hotel or if the Hotel or any part of it is closed or damaged due to circumstances beyond its reasonable control.
ARRIVAL/DEPARTUREThe availability of the function suite will be from 7.00 on the day of the event.Bedroom accommodation is available from 15.00 on the day of arrival, and vacated by 11.00 on day of departure, unless specific alternative arrangements have been agreed.
OUTSIDE CONTRACTORSOutside suppliers must ensure that all equipment is PAT tested and up to date. They must have the relevant Public Liability insurance. Any entertainment must adhere to the Hotel policy regarding noise levels and finishing times. Contractors must read and sign a statement drawing attention to the Health and Safety procedures within the Hotel. The Hotel does not permit any outside caterers on the premises.
GENERALThe Hotel reserves the right to refuse any externally arranged entertainment, services or activities that the client may have arranged and cannot accept any liability for any resultant costs. Should any of the guests of the Client be unable to correct any aspect of poor behaviour or activities unacceptable to the Hotel, the Hotel reserves the right to terminate the contract. Should this occur no monies will be refunded to the Client and the Hotel’s decision is final. The costs of repairing any damage caused to the property, contents or grounds of the Hotel by the Client or its guests, must be reimbursed to the Hotel by the Client. The Hotel cannot take responsibility for property of clients or their guests. Any goods left unattended on the Hotel premises are deposited at the owners’ risk and without any liability on the part of the Best Western York Pavilion. We do not have storage space at the Hotel so all wedding paraphernalia must be removed the day after the wedding.
EXCLUSIVITYPlease be advised that the York Pavilion does not offer exclusivity of the Hotel and the grounds and has the capacity to cater for more than one function per day.
