1 Outdated Instructions

Are the exhibit instructions you sent current?

Too often, instructions areincluded, but they’re outdated… sometimes being years past the original configuration date / usage.

Don’t delay the installation and create an unhappy exhibitor… make sure your I&D crew has updated instructions!

2 No Electrical Layout

Many electrical layouts for smaller exhibits can be managed with an extension cord. But for larger exhibits with multiple power-needs, your installation team should have the full electrical schematic available to check BEFORE they lay the carpet.

Incorrect placement of electric drops is the #1 cause of I&D delays and cost overruns!

3 No Graphic Layout Information

If the graphics are not “just right” when the exhibitor arrives, we’ve blown the WOW! factor.

And if the exhibit assembly has been completed and the crew has left the hall, it could result in additional service callback charges.

Ever hear that a picture is worth a thousand words?

In addition to CURRENTInstructions, electrical and graphic layouts, and all CAD drawings, include real set-up photos from either your warehouse preview or from the most recent show.

This will help ensure that the final exhibit looks exactly like the client remembers it (and expects it).

5 Order Confirmations Not Included

Copy That.

On the show floor, your installation team should have copies of all show-service order confirmations for services such as electrical, carpet rental , internet, furniture, A/V rental, and rigging labor .

6 No Freight Carrier Information

Your installation crew needs your shipping information.

It seems simple enough, but the carrier name and method of return shipment is information that is often omitted. Surveys show that not having outbound freight carrier information is the #1 cause of forced freight in the trade show industry.

7 Copy of Exhibitors CCA Form

If money makes the world go round, then credit card information keeps trade show services moving.

The General Contractor should have the Exhibitor’s CC info on file already, but if your installation team is armed with a copy of that completed form, they can help you avoid costly delays --- and show services can be completed with less hassle.

8 Missing Keys

Look familiar?

To avoid damaging cabinets or meeting room doors, we recommend shipping multiple sets of keys for the exhibit’s various locks (storage room, reception station, demo tables).

TIP: Ship back-up keys in a separate booth shipment, to ensure at least one key set gets delivered (in case part of the shipment is lost or delayed).

9 No Extra Light Bulbs

If light bulbs burn out during the show, you can avoid the hassle and perhaps a labor call back charge by having extra bulbs on-hand for the exhibitor or supervisor to install.

TIP: Ask your labor team to place an extra bulb or two behind the backwall, or in a closet or cabinet before they complete the installation.
