My name’sJoanna and I leadthe Conferenceand Events teamfor CornwallInnovation.

I’m delighted to welcome you to our brochureand I’ll be acting as your guide through thesepages – sharing my experiences with creatingsuccessful events and helping with advice onthe most appropriate rooms and locations.

We offer a great service across three accessiblelocations: Pool, Tremough and Truro. Each venuehas well-appointed facilities with lots of naturaldaylight and high-speed connectivity as standard.

Also be sure to look into our new Daily DelegateRate. This gives you a full delegate package that includesroom hire, refreshments, lunch and audio visual equipment.Minimum numbers apply but it represents excellent valueat £24 per person.

Finally, don’t forget each Innovation Centre offers free publicwifi and space for ad-hoc meetings in our informal break-out areasin each centre and in the cafés at both Pool and Tremough.

top tipsDo you need to organise a conferenceor event? Here are my fivetop tips for success...

Identify clear SMART objectives.Developing specific, measurable objectivesneeds time, methodical thinking, and aclear picture of the results you want toachieve. The more specific your objectivesare, the easier it is to demonstrate success.

What do you hope to achieve?How will you measure the event’s success?Will this be in the form of feedback, websitehits or the number of potential new leadsyou generate?

Are the objectives you set achievable?How many new clients are you hoping togain from the event? Did you get the rightdelegates through the door? Did yourmarketing target the right area?

Can you achieve your objectives withthe resources you have?Is your programme and delegate listinteresting enough?

When do you want to reach yourobjectives?On the day or over a longer period of time?

Location!5Is your venue in an accessible area? Is it near an airport or just off the motorway orcentral to a town or city? Try to make the journey as easy as possible for your delegates.Can you organise transport from a pick up point to discourage people driving – maybeyou can promote car sharing or, even better, public transport. Going Green is verypopular with companies and is great for your brand image.

All three of our Innovation Centres are built to the BREEAM Excellence standard, oneof the highest levels of environmental accreditation for new buildings. Holding yourevent with us reflects well on your company so it’s a great way to impress your delegates.

Make sure you have a clear idea of whatyou want to spend. Which elements arethe most important to invest money in?The key speaker, venue, catering or PR?

Have you built up a good relationship witha company that would give you a reducedrate on venue hire or a discount for groupbookings? When your budget’s tight, it’sa great idea to revisit your contacts for‘deals to be done’. If a certain hotel givesyou a good discount, you could repay themby putting some of their promotionalmaterial in the foyer of your event. Thismaintains a good business relationshipand encourages repeat bookings.

Remember to always allowfor a 10% contingency.

Make sure you communicate with all yourdelegates – acknowledge their registrationsand send them joining instructions beforethe event. This stops them worrying aboutwhether or not they’ll be on the delegatelist (It can be very embarrassing if you’veregistered and you don’t have a badgewhen you arrive!). It also gives them plentyof time to plan their journey.

Set up regular contact with suppliers.Talk and, if possible, meet with them, takingnotes and making action points foreveryone involved. Caterers, techniciansand speakers will all appreciate theface to face contact.

During networking, take the time to talkto your delegates and let them know howexcited you are to have them at your event.Introduce them to people you think wouldlead to long term and mutually beneficialrelationships.

If you are using an event managementcompany, remember to update them withyour ideas and try to meet them regularly.

Make your event interesting. Nobody wantsto sit through endless hours of PowerPoint.Have you got an interesting key speaker?Will you be making your sessioninteractive? Will there be Q&A and the end?Is there something nice for lunch?Remember that everything about yourevent represents you as a company.

Tea, biscuits and freshly filteredcoffee are great fuel for anymeeting and we have a varietyof different menus to suit yourevent. Our food is locallysourced where possible andprepared to the higheststandard.

There’s a tasty vegan salad option too.

For earlier meetings, we can alsoprovide sausage, egg or bacon bapsas well as Danish pastries or continentalbreakfast dishes.

Pool Innovation Centre is perhapsthe most accessible of our threevenues. It’s right at the heart ofCornwall and within easy distanceof the A30. We have an award winningbusiness incubation and acceleration spacewith a vibrant network of knowledge-basedbusinesses focused on growth.

A nominated Conference and Events desklocated on the ground floor provides everydelegate with a central point of support.

Our Trevithick Suite has a flexible pillar-lessconference space that can host up to 90delegates – there’s also an adjacent breakout area for refreshments. You can choosefrom a further six well-equipped meetingand conference rooms that are perfect fora wide variety of events.

Based next to the Penryn UniversityCampus, Tremough is the InnovationCentre that’s most connected to theeco, enviro, media and creative sectors.

New to TIC and PIC, , is the perfectplace to meet a client for coffee and cake,pick-up emails on the go or catch-upwith the latest business news.

The Sennen Suite on the ground floorcomfortably accommodates 100 delegatesand has a private space for refreshmentsat the rear. The three well-equippedboardrooms all benefit from naturaldaylight and our Helford Suite also hasa meadow-view terrace that’s ideal foroutdoor refreshment breaks during thewarmer summer months.

The Health & Wellbeing InnovationCentre is one of the County’s preferredexhibition, conference and eventsspaces. Located next to to the RoyalCornwall Hospital site, it’s serviced bythe Langarth Park and Ride scheme.

Our three-storey central atrium has breath-taking floor to ceiling windows that makethe most of the beautiful countryside views.

The lower ground floor room configurationcreates a dedicated flexible conferencespace that has its own private breakoutarea – perfect for stakeholder andcollaborative partnership events. We havea further six meeting rooms to supportall your event needs, from small seminarsto training workshops.
