    Note: A detailed timetable for Move-in, Restock and Move-out is available in the Move-in, Restock and Move-out Hours section of this document. The table above shows Exhibition Hall hours for attendees. You are expected to man your tables during these hours. Loading Docks The loading docks can be accessed via the delivery lane located north of the main parking lot entrance. There are 6 docks that are available for the show, lettered C-H. Dock A & B is not to be used. Docks will be assigned by the traffic controller. Note: The EY Centre does not provide carts or dollies. Please bring appropriate equipment to transport your merchandise to your booth.

    EXHIBITOR CODE OF CONDUCT

    Exhibitors are expected to be polite and respectful towards everyone they come in contact with, whether it is a member of the conventions staff, another exhibitor, building staff, guest or attendees. If an exhibitor is rude, disrespectful, abusive, harassing or aggressive towards any of the abovementioned persons, he/she will be removed from the convention center for the day. If the event produces itself again the following day, the exhibitor will be asked to shut down his/her booth(s) and leave the building for the rest of the event. The exhibitor may also be banned from future events as the discretion of Show management. Exhibitors are expected to show up on time and be ready at the times mentioned in the Move-in, Restock and Move-out Hours section of this document. Failure to show up at the mentioned times or after the docks close will result in exhibitors not being able to setup and open their booth on that day. They will get another chance to setup on the following day during the restock hours. Exhibitor hall staff will patrol the hall before opening of the show hall. You are expected to follow their requests to clean up the aisle in front of your booth and make sure that it is safe for attendees. The exhibition hall cannot open until all aisles are clear for foot traffic. Any exhibitor that causes the exhibition halls opening will be given a warning. After three (3) warnings the exhibitor will be asked to pack up their stock and leave the premises. The exhibitor may also be banned from future events as the discretion of Show management.

    GENERAL INFORMATION

    Artist and dealer booths must be ready 30 minutes before the Exhibitors Hall opens to the public. Artist and dealer booths must not have merchandise or displays blocking the aisles. For merchandise transportation purposes, handcarts and dollies can be used in the Exhibition Hall and docks only. Badges are non-transferable and cannot be sold, used as prizes, or giveaways. There will be a punch card system for the badges, which means that everyday the badges will need to be checked by someone at the door and the exhibitor will be stamped on the hand with the color of the day. This will mean that if the card has already been punched for a given day and the exhibitor doesn't have the stamp on the hand, he/she will not be let in the Hall and will have to purchase a new badge. The Convention is not liable for lost or stolen merchandise during Exhibition Hall opening hours. The exhibitor is responsible for his/her own security during exhibition hall hours. Any garbage generated from transport of merchandise or sales should be disposed of in bins placed for that purpose around the Exhibition Hall. Any boxes used and ready for disposal need to be broken down before being discarded in the aforementioned bins. Should an artist require a power outlet, please fill out the form attached in Appendix and please advise the Dock & Exhibition Hall Director, Ryan Moreau, at [email protected]. If you are from outside of Canada and need to import merchandise into the country, we are proud to be doing business with The Commerce Trade Show Logistics Group Ltd. They offer both transportation and customs services. Please email [email protected] for the form and more information.

    Decorations cannot be pinned, taped or stapled to any wall surface. Hanging of any item from the ceiling must be done by our exclusive rigging supplier, Freeman Electrical. No confetti (paper, plastic or metallic) or sparkle dust is to be scattered on tables. Votives, tea lights and candles are to be safely contained in protective, non-flammable holders and cannot have an open flame. Also, no helium products (balloons or canisters) will be allow in the building. All decorations must be removed immediately after the event.

    WHATS INCLUDED

    For dealers: One 8 table and two chairs. Two badges for every full table. For artists: One 6 skirted table and two chairs. Two badges for every full table, and one badge and one chair for a half table. Power and Internet are at the exhibitors expense.     DISPLAY RULES AND REGULATIONS

    General Regulations 1) During the event, all tables and aisles are to remain clear of boxes, debris, and displays. 2) All exhibitors must be careful not to damage the show floor with tables or displays. Only the following three tapes can be used in the EY Centre: Polyken 105c LPDE, Scapa 274004 and DC-W002A. Also, please be advised that any tape used must be removed before the end of the show or you will be charged for its removal. 3) Smoking is prohibited inside the EY Centre. 4) During general opening hours, no handcarts and dollies will be allowed throughout the EY Centre. 5) Drapes have been given to all exhibitors and are not to be removed. Also, nothing cant be hanging off the pole and drapes and all times. If an exhibitor would like to remove a drape, he/she must see Exhibition Hall staff at the Exhibition Services Desk. 6) Fog and smoke machines are not permitted in the Exhibition Hall. 7) Riggings for a booth may not go higher than the pole and drape (about 8). 8) It is up to exhibitors to maintain the safety (they must make sure that any rigging and/or signage will not fall at anything time) and cleanliness of their booth. Exhibition Hall staff can ask for the booth rigging to be made stronger if they feel the booth is unsafe. If this is not done, the convention is within its rights to have the rigging removed. 9) No helium products (balloons or canisters) will be allowed in the EY Centre.

    Artist Specifications An artist gets one 6 table and 2 chairs for a full space. They can use the space as they like, but cannot go outside of the limits of the space they are given. Any rigging should not block other booths. If the rigging is higher than pole drape (about 8), please email Ryan Moreau at [email protected] with the details of your booth. Dealer Specifications Dealers get one 8 table and two chairs for each space. They can use the space as they like, but cannot go outside of the limits of the space they are given.     FOOD AND DRINKS

    The sale, distribution and personal consumption of all food and beverage items and related services in the EY Centre are exclusive to Great Canadian Plates. Any exhibitor promoting, distributing or selling food or beverage must contact Great Canadian Plates to obtain authorization prior to the show. You can reach Great Canadian Plates at [email protected].

    PARKING

    Parking is not included for exhibitors. Parking for trucks and oversized vehicles can be purchased for $40 for the weekend. Once that area is full, you will need to use the paid parking area from the EY Centre ($7.00 a day). Cube, econoline and vehicles with trailers are allowed in the back for parking.

    BOOTLEGGING

    Ottawa Commiccon and Capeflow Productions do not condone the sale of unauthorized or bootlegged materials. The sale and/or display of licensed material should only be allowed if merchandise is approved by license holder and doesn't infringe on copyrights and licences laws. By attending the event, you agree to these guidelines; violations of these guidelines will result in removal from the event without refund and possible ban from future events. We work with law enforcement authorities and licence holders to act against the sale of bootleg and or unauthorized merchandise at our event. Any exhibitor caught selling such items may be subject to prosecution by law authorities who will be given full access to the event.

    WEAPONS POLICY

    If you are planning on selling weapons, please make sure that you properly wrap the item in a form of cardboard or thick paper. If you have any questions about what proper wrapping is, please email Weapons Master at [email protected]. Please note that it is your responsibility to mention to attendees that buy weapons to make sure that they do not unwrap their package(s) until they arrive home. If you plan on selling props and the attendee plans on using them during the convention, please advise them that they must go to weapons check to register their prop with our weapons master. Live steel: must be brought off the premises or brought to weapons check to be kept in storage until attendees can bring it off the premises since live steel cannot be kept on site without supervision. If attendees buy a prop made of wood or foam, please advise them to bring it to Weapons check to have it registered.

    For safety reasons, exhibitors should not do demonstrations of live steel in the aisles; it should be done behind the counter or within the allotted booth space. Demo weapons should be supervised and behind the counter and/or behind a display case. Exhibitors may only sell weapons as permitted by Federal and Provincial law. As per legal Canadian law, you must be certain that the person you sell weapons to is of age, as in over 18 years old. Mock Battles If an exhibitor wants to arrange for mock battles during convention hours anywhere on site, please advise the Director of the Exhibition Hall at this address so that all appropriate parties will know in advance. Please remind anybody that would participate in these mock battles not to damage exhibitor or Con property and be careful of innocent bystanders.

    TIPS AND HINTS

    Make sure to bring enough change for the weekend. The EY Centre is not providing carts. You are encouraged to bring your own

    carts to transport your merchandise from your vehicle to you booth and back again.

    Plan out an attractive setup. Your body language and posture are important. Create a positive impression. You are encouraged to bring business cards and flyers to promote your

    store and products. Let your customers know that youre attending the show and setting up

    shop. Take breaks during the show, but be sure someone is always at the booth

    to maximize potential sales. You should take valuables with you when you leave the event at night. The storage of boxes is not allowed in the show room. And, most of all have fun! Go see an event or two.

    Please note that the docks will only be open during setup, restock, and teardown hours. The dock will be closed during exhibition hall hours. If you require to bring in merchandise during the show, please see the Exhibitor Services Desk located at booth 9001 or at the back of Hall #3 next to the Daleks.

    BADGE PICKUP AND CHECK-IN

    Badges can be picked up at the check-in desk situated next to the dock area, at the abovementioned times, whether they were pre-ordered or are bought on site, as soon as Exhibitors/Artist have unloaded. If you require more badges, they may also be purchased at the check-in desk. If someone loses his/her badges during the convention, he/she can go see the Exhibitor Services Desk located in Hall #3 about picking up a replacement. Please also note that the badges cannot be personalized. Everyone gets the same badge.

    MOVE-IN PROCEDURE

    Please be advised that exhibitors will need to use the back entrance to Hall 3 exclusively to load and offload their merchandise. Dealers MUST have everything unloaded at the docks on Thursday, May 8 and have most of their setup finished by the end of the night on Thursday. If they have not finished setup, they can continue on Friday, May 9 from 8:00 a.m. to 11:00 a.m. only. Artists can setup on Thursday, May 9 from 3:00 p.m. to 10:00 p.m. & on Friday, May 10 from 8:00 a.m. to 11:00 a.m. The dock is going to be using a first come, first served policy for dock space. Please be sure not to be late. It will be up to the traffic controller to assign a dock to the dealers as they come in. Artists and dealers must have their entire booth displays finished and ready one (1) hour before the Exhibitors Hall opens each day. A move-out time must be scheduled upon check-in if one has not been scheduled beforehand.

    MOVE-OUT PROCEDURES

    Artist move-out 5:01 p.m. to 6:00 p.m.

    Dealers move-out 6:01 p.m. to 10:00 p.m.

    Box unloading 4:45 p.m. to 5:15 p.m.

    Please be advised that exhibitors will need to use the back entrance to Hall 3 exclusively to load and offload their merchandise.

    A move out time must be scheduled upon check-in as dock space is very limited. If a dock time is not scheduled, you will not able to load your vehicle until all scheduled appointments have been completed. The tear-down of booths in the Exhibitors Hall cannot be done by the dealers or artists before 5:00 p.m. on Sunday, May 11, unless given special permission from the event management or the Dock & Exhibition Hall Director. If there is an emergency that requires you to tear down your booth before the scheduled tear-down time, please see event management or Dock & Exhibition Hall Director for instructions and special authorization. If dealers decide to keep extra merchandise or boxes in their vehicles, they will need to schedule a time during the restock hours stated in the table above. Dealers must have everything packed and their booths completely torn down on time for their scheduled move-out time before bringing their vehicles to the dock due to constraints due to lack of dock space. All exhibits must have their booth torn down and everything moved-out by 10:00 p.m. on Sunday or there will be additional fees incurred.

    EARLY REGISTRATION

    Starting this year, we will be taking early registration for next years Ottawa Comiccon. The forms for this can be found with the Exhibition hall desk starting Saturday, 10 to Sunday, May 11 finishing at 9:00 p.m. Please note that a down payment will be required. For more information, feel free to ask at the desk.

    FAQ

    Q: I wont be able to make it for the dock times mentioned above. Is there a way to make an exception? A: Exceptions can be made in extenuating circumstances. Please contact [email protected]. Q: Does the EY Centre have box storage? A: Unfortunately, they do not. Our suggestion is for you to store your boxes in your truck and mention it to the Exhibitor Check-in desk. This way, we can give you a dock time to offload your boxes and another to load all your merchandise. Q: Can I just leave my truck on the dock while I pack my merchandise? A: Due to the limited dock space, we cannot permit vehicles to stay ideal in the dock area. Thus, we ask that you respect the time that is allocated to you. Q: I need some dock space during the event to unload more merchandise. What do I do? A: See the Exhibitor Services desk for assistance. Q: Can I get food delivered to my table? A: Yes. Just ask for an order form from the Exhibitor Service Desk. Q: Ive lost my badge. What do I do? A: Please see the Exhibitor Service desk for assistance. Q: Is parking at the EY Centre free for exhibitors and artists? A: Unfortunately, parking is not included.
