Sussex!

Your support is vital to our work fighting food poverty and tackling food

waste in the community. We want to make fundraising fun, easy and

personal to you, so use this information pack to support your fundraising

efforts. You might want some ideas, to use the resources provided or to

learn a bit more about how to get involved.

About us

FareShare Sussex is a charity

project with the joint aims of

alleviating food poverty, reducing

food waste and supporting.

volunteers.

The project ensures food is delivered to

organisations that need it most, including

food banks, children’s centres, lunch

clubs and homeless hostels.

Our work enables over 80 community

organisations to provide thousands of

meals and saves around 460 tonnes of

food from going to waste each year.

FareShare Sussex works with vulnerable

and long-term unemployed volunteers

to support their progression through

work experience and accredited

training and provides positive

contribution references.

£50 pays for a

volunteer to gain accredited

food hygiene training.

£10 provides 62

meals, saving 26kg from going to waste.

£1 enables us to distribute up

to £7 worth of food.

Where your money goes

We keep our costs as low as possible and ensure every penny donated goes

towards alleviating poverty, reducing food waste and supporting volunteers.

Case Study – Cooking with Ken at the West Pier Project

After residents expressed an interest in improving their independent living skills,

the West Pier Project homeless hostel started a ‘Cook and Eat’ group back in

2010. The group takes place in the communal kitchen, encouraging users to

socialise and work together to produce a balanced meal.

It’s been a huge success and with the support of FareShare Sussex, it’s been

increased from two to three days a week.

“Thanks to the excellent quality, variety and amount of vegetables available

from FareShare, residents frequently prepare a meal containing four or five

vegetables. Their daily allowance is met in one meal!”

Think of an idea

Decide what you would like to do. Is it an event, a challenge, a collection? Do you want to do it alone or in a group? Choose something you're interested in and get as many people involved as possible.

Speak to us

Get in touch to let us know about what you're planning and how we can help. We can provide resources such as banners, leaflets and stickers. We can also promote your fundraiser in our monthly newsletter and

social media. Depending on availability we may also be able to offer a representative to support at the event.

Plan, plan, plan

This phase will vary depending on what activity you're doing. It may be organising venues and volunteers, tracking down raffle prizes, training for your challenge event, or a mixture of the above. This is also the

time you will want to set up your fundraising page if you are collecting online.

Spread the word

This can be done before, during and after your fundraising activities. Whether online or offline (but ideally both), tell everyone in your social networks about what you are doing, why you are doing it and how they

can support you make your activities a success. See our guide on writing press releases on page 11 to inform the local media.

Enjoy yourself

When it comes to the actual event or activity, make sure you enjoy yourself and get something really positive out of the experience. Happy fundraisers make good fundraisers. Take lots of photos to share

with your networks and ours to encourage others to follow in your footsteps.

Dos and Don’ts – the legal bit Charity fundraising is regulated by various laws. As a fundraiser you are working ‘in aid’ of FareShare

Sussex rather than ‘on behalf of’ or ‘representing.’ On any posters or other publications please write ‘in

aid of FareShare Sussex, City Gate Community Projects Registered Charity 1093245’.

Do:

- Obtain all necessary licenses and consents.

- Comply with relevant Institute of Fundraising codes of practice – visit

www.how2fundraise.org.

- Apply a common sense approach to health and safety matters and carry out risk assessments

to identify and mitigate any risks.

- Follow food hygiene procedures and comply with food safety laws if applicable.

- Arrange public liability insurance where necessary.

Don’t:

- Collect in public spaces without obtaining the necessary permits, or on private property

without permission from the owner.

- Organise a raffle, lottery or tombola without understanding and complying with the rules of

conduct – visit www.gamblingcommission.gov.uk.

- Sell alcohol without a licence.

Gift Aid is a great way to make your donations and collections go even further without any extra work involved. As long as you or your sponsor is a UK taxpayer and has paid an amount of Income Tax or Capital Gains Tax at least equal to all charitable donations that tax year, the gift should be eligible for Gift Aid. This means for every donation made, an extra 25% is added by the government. If you give £10, we can actually receive £12.50! This makes a huge difference to our project, and all you need to do is to ask your sponsors that qualify to tick the box on your sponsorship forms along with their full name and home address. Please note: if you are collecting donations online via

JustGiving, Gift Aid is collected through the website.

Twitter to hassle friends and family which

turned out to be pretty effective.”

Top tips towards sponsorship success!

Get started early and set yourself a challenging but achievable target.

Set up an online sponsorship page at JustGiving.com/FareShareSussex

Act strategically - get in some large donations first to encourage more, and ask after payday!

Use social media to share your page and update on your progress if undertaking a challenge.

Don't rely solely on social media - reach out to people over email, phone & face-to-face and ask them to spread the word. Have an option to donate offline too for those who prefer it.

Tell people what your target would mean for the charity e.g. £500 pays for the distribution of over 3100 meals.

Ask your employer how they can support you - they may have a matching scheme or allow you to advertise on your intranet or have an office collection.

Write a Press Release and send it to your local newspaper, radio station or community website.

Thank your supporters. It goes without saying but when you are in the middle of preparing and fundraising for an event, it can sometimes get forgotten.

Ask again! Don't worry about having to remind people you have already approached. Update them on your progress and say what their support would mean to you and the charity.

Think about gaining support from any clubs or social groups you may belong to - whether this is your pub quiz team, your yoga classmates or your improv troop!

via JustGiving. You can either set up a fundraising page where others can

go to leave donations and comments, or you can make a one-off payment

to pay in money collected.

How to… Set up an online fundraising page

1. Go to Justgiving.com and click ‘Get Started.’

2. Log into your JustGiving account. If you haven’t got one yet, click ‘Sign Up’

to create one.

3. Select ‘Start Fundraising’ at the top of the page and search for FareShare

Sussex and select.

4. On the ‘Let us know what you’re doing’ page, select the option that

matches your activities. This may be an organised event like a marathon,

celebrating a personal occasion like a wedding, raising money in

somebody’s memory or taking on your own personal challenge.

5. Choose your JustGiving web address – the link you will use to share with

friends and family to encourage them to donate.

6. Click ‘Create your page.’

7. Click ‘Edit’ on the left hand side to amend your title, target, summary and

story.

8. Choose a page colour theme – select ‘choose a page colour theme,’ pick

your favourite and ‘save changes.’

9. To add photos, click on ‘add photos’ and you’ll see an option to ‘select

photo’, choosing an image from your device, add a caption and press

‘upload photo’ to finish.

10. Under ‘edit this page’ you can ‘add a video’ by pasting the URL of your

YouTube video link, then ‘save.’

How to… write a press release Let the local press know all about your exciting event or activity and why you have decided to

do it by sending round a press release to local newspapers and radio stations. Be sure to use

the information about FareShare Sussex provided in the Fundraising Pack and on our website,

or get in touch if you would like support writing this.

You should keep your story to one page maximum, and write in the third person. Always

include a photograph with your press release, and if you would like any materials or resources

with FareShare branding, just let us know. Be sure to let people know how to support your

activity, whether it is donating to your JustGiving page, coming along to an event, contributing

a prize or volunteering some time.

To find out who to send your press release to, call up your local paper and ask for the news

desk email address. Be sure to include the release in the body of the email rather than as an

attachment.

For immediate release (date) – if the press can use the story straight away

Or

Embargoed for (time/date) – if you want a journalist to use the story from a future date

Headline: Should explain what you are writing about but be snappy and capture interest.

Beginning: Use these first few sentences to capture key information about your activity. Use

who, what where, when, why as a guide to write your story.

Paragraph 2-3: In this first middle section, go into more detail about your activity/event.

Paragraph 4-5: Add a quotation from yourself or somebody else involved. You can also ask

FareShare Sussex for a quote from one of the team.

Paragraph 6: Add any other relevant information and calls to action including how to get

involved.

Photo opportunity: Detail what, where and when, with relevant contact information.

Contact details: Include all contact details including your name, fundraising page, telephone

number, email address and website.
