Skyward - Preparing your Gradebook for Report Cards ~2011-12 description ~

This document will explain to teachers many of the new processes available in SKYWARD to post grades. Posting Comments to the Report Card

1. Login to Skyward Educator Access .

2. Select My Gradebook

3. Select the class Gradebook for which you wish to enter comments.

4. Select Posting

5. Select Post Comments

6. Select the Post Comments for the current Quarter for which you are wishing to post your comments.

7. You may print a list of all your comments. All Elementary schools use a common set of comments and may select up to six comments per class. Middle Schools and High Schools select from a different set of comments.

8. You may Mass Assign a comment by Entering the comment in the Default Blank comments to: drop down box

9. Enter individual comment codes in the spaces next to the students names. Elementary School may add up to 6 codes, Middle and High School will be able to add either 2 or 3 depending on the Entity Configuration.

To view your schools comments, Select the View Comment Codes link on the Post Comments page. Below is a sample list from a High School. Please note that Code 21 is a code to be used only by the FTE staff and is reserved to Deny Credit. Teachers should never use this comment code. Elementary Schools use a completely different set of comments.

Adjusting or Overriding Student's Quarter Report Card Grades During an Open Grading Window

1. Login to Skyward Educator Access . 2. Select My Gradebook

3. Select the class Gradebook for which you wish to enter comments.

4. Find the grade summary column labeled "Q1". We are working in Quarter 1 for this example, you may choose a different quarter.

5. Click on the Options button. 6. Choose Enter Term Q1 Grade

7. The Grade Adjustment Screen lists the gradebook calculation for each student, plus the ability to

a. adjust the quarter grade or

b. override the letter grade.

8. You may adjust a student's grade by adding points to the final average. Here 2 points were added to the amount field which did not change the letter grade, but did change the percentage grade

9. You may also adjust a student's grade by placing a different letter grade in the Grade field. The amount field automatically populates, showing the teacher how many points had to be added to reach the letter grade adjustment.

10. Click on the little document icon to the right of the grade adjustment. (If a grade has been adjusted, the teacher should add a comment to explain the reason for the adjustment. This comment will appear in Family Access so the parents understand the reason for difference in the gradebook grade and the report card grade.

11. Enter the Comment and then click SAVE

12. Once all student's grades have been adjusted to your satisfaction, Click Save.

Posting Grades for the Quarter

1. Login to Skyward Educator Access.

2. Select My Gradebook

3. Click on the Posting Status Tab. If you click the dropdown arrow by mistake there is only one choice for posting:

4. Click on the Mark All as Completed Button. ( This step will serve as a Grade Verification step in the future as this provides the front office with a report with teachers that have marked their gradebooks as complete.

5. Click Back and your grades are ready to be posted.

6. Click on the Show Grades Posted Message to see the status of your grades. This gradebook has been marked completed. When the automated grade posting process runs in SKYWARD nightly during the grading window. Your message will change from Marked Completed to Posted.

Requesting Grade Change for Closed Grading Period A new process exists in SKYWARD where a teacher may request a change to a grade that has already been posted to a closed grading period. This may be needed when a student turns in an assignment late and that assignment may affect the overall letter grade for that student. This process starts a process where the teacher requests the change and then an approval is triggered to the Gradebook Administrator to approve that request.

1. Login to Skyward Educator Access . 2. Select My Gradebook

4. Select the Grade Posting Status for the closed grading period you want to work with. This example we will use Quarter 1

5. You will now see the Request Grade Changes button. Single click and highlight the course you want to change. Then click the Request Grade Change button.

6. A screen appears with the information regarding the request you are creating. We are creating a request for Quarter 1 for Course 2109320/005. This window is open for 2 hours for us to create a change to the gradebook. You are required to enter a reason for requesting the grade change and then click on yes to proceed.

7. The gradebook for the class is now open. You have two ways to create a change in the letter grade.

a. Change a score on an assignment.

b. Change the Quarter 1 grade itself.

8. In this example, the first student had an assignment on 9/22 that was scored a Zero. The student turned this assignment in late and scored a perfect 5 out of 5. This would greatly help the student's grade. Simple go into the assignment and change the score from a 0 to a 5.

9. Once that is done a new column appears with the Q1 Report Card Column and the posted grade. The Q1 column now shows the revised grade of a B. Note that the both the F and the B are bold with an asterisk next to them. This indicates that request is now in process and waiting approval from the gradebook administrator.

10. You may also create the grade change by just changing the letter grade.

11. Click on the Q1 letter grade for the student you are wanting to change.

12. You can now enter the Letter Grade adjustment in the Grade Box next to the students name. Once that is done you can click on Save.

13. You can now see the two students that we have modified. In the first student, we created the grade change by actually changing the score of an assignment and that triggered an increase in the letter grade. In the second student, we created the grade change by changing the letter grade. On that student you will see that there is a grade adjustment that is now showing. In both examples you now see the Changed letter grade in the Q1 column.

14. We have completed the grade changes we can either wait the two hours out and the grade change window will close automatically, or we can close it by marking the grade change as complete.

15. Go Back to your Posting Status and select the Grade Posting Status for Quarter 1.

16. Select the Complete Grade Changes.

17. Select Yes to proceed to close the temporary window.

18. Select Back 19. You can now exit your gradebook.

20. What this will now create is a process for your front office staff to approve. The Grading Administrator will be able to see the reason for the grade change and the two students that we entered in the gradebook.

21. Your gradebook will now show the updated grade and the Bold and Asterisk notification will go away indicating that the Grading Administrator has approved the grade change.
