‘Astbury Merekats aim to provide a safe, fun, friendly play centred
environment for the children in our care. We endeavour to provide an
atmosphere and activities similar to those found in the home.’
Aims and objectives
Astbury Merekats aims to
· Offer an inclusive service, accessible to all children in the community
· Ensure each child feels happy, safe and secure, allowing them to learn and
develop freely in a play centred environment
· Encourage children to take responsibility for themselves and their
· Encourage children to develop positive attitudes and respect for
themselves and others, in an environment free from bullying and
· Provide a wide range of resources and equipment which can be used under
safe and supervised conditions
· Offer a programme of activities which meets the needs of each child,
promoting their physical, intellectual, emotional and social development,
enabling them to become confident, independent and co-operative
· Work in partnership with parents to provide high quality play and care
· Review and evaluate our services to ensure that we continue to meet the
needs of children in our care and those of their parents or carers
· Keep parents and carers informed about changes in the administration of
the Club and to listen and respond to their views and concerns
· Communicate effectively with parents and carers, and to discuss
experiences, progress and any difficulties that may arise
· Employ experienced, well trained staff and offer them appropriate
· Comply with the Children’s Act 1989, the Childcare Act 2006, and all
other relevant legislation
Admission and Fees
Astbury Merekats cares for children, between the ages of 4 and 11 years,
primarily serving the children of Astbury St Mary’s Church of England Primary
Places are offered on a first-come first-served basis. When all places have been
filled a waiting list will be established, with the following order of priority:
1. Children of Astbury St Mary’s Church of England Primary School
2. Siblings of children already attending the club
3. Those requiring the greatest number of sessions/hours per week
4. Children living in the area attending other schools
When an enquiry regarding places is made, parents or carers will be given all the
relevant Club information, including:
Registration form and booking form.
Policies and Procedure
If a place is available, the parents and child will be invited to visit the club for
an induction if required. The child will be able to attend the Club as soon as the
completed forms are received.
If no places are available the parent will be informed and the child’s name added
to the waiting list. As soon as suitable places become available parents will be
informed through an offer letter.
Parents must complete the necessary paperwork, e.g. registration and booking
form before their children can attend the club.
Once a place has been booked, if a child does not attend for any reason you
will still be charged for this place, (including but not limited to illness,
holiday or temporary exclusion for whatever reason). If you wish to cancel
the place, four weeks written notice is required.
We will accept adhoc bookings as long as there are places available. Adhoc
sessions are payable prior to the child attending the club. If a child does
not attend for any reason, you will still be charged for this place. If you wish
to cancel the place, one month’s notice in writing is required.
The current fee for children attending Astbury School is:
Breakfast Club (7.30am –8.55am) @ £4.00 per child (Breakfast Included)
After School Club (3.20pm – 6.00pm) @ £8.00 per child (Snack included)
After School Club (3.20pm – 4.30pm) @ £4.00 per child (limited places
The current fee for children attending all other local school is:
Breakfast Club (7.30am-8.55am) @ £5.50 per child (Breakfast Included)
After School Club (3.10pm- 6.00pm) @ £8.50 per child (Snack Included)
Full Day Holiday Club (8.00am – 6.00pm) @ £23.50 per child

Additional Care from 7.30am -8.00am during school holidays @ £2.00
We offer a 10% second child discount. Fees are payable monthly in advance by
cash, cheque, BACS, childcare vouchers or credit card.
Cheques should be made payable to ‘NRG Associates (UK) Ltd’
The price per session, per child applies to all children. This is payable for all
sessions, including when your child is sick, or on holiday unless one month’s
written notice is given. Bookings are non-refundable or exchangeable.
There is a charge of £5 per fifteen minutes for late collection or part thereof,
this will be added to the following months invoice
Bank holidays will not be charged for.
Non-payment for more than one month will result in your place being terminated.
Astbury Merekats Out Of School Club aims to keep fees to a minimum, whilst
still raising enough income to cover our running costs. Please ensure fees are
Changes to days and cancelling your place
One month’s written notice of termination, or of changes in attendance must be
given. Requests for changes to days should be made to the manager and will be
accommodated where possible.
Please remember that we need to know if your child (or children) will not be
attending Astbury Merekats for any reason. Even if you have informed your
child's school, we still need to know.
If you know in advance of any days when your child/children will not be
attending, please let a member of staff know as soon as possible. In cases of
illness or emergency when notice cannot be given, please call as soon as you can,
our contact details can be found at the end of this handbook.
The Club recognises that childcare can be costly, so we encourage eligible
parents or carers to claim the childcare element of the Working Tax Credit. We
are also registered to accept childcare vouchers.
Payment of fees
Fees are reviewed annually by the registered person. The Club will consider
requests for variation to payment terms on an individual basis. Anyone making
these requests should contact the manager at the earliest opportunity. Any
queries regarding fees should be directed to the manager.
If fees are not paid, the Club will write to the parent or carer, requesting
payment. If the parents or carers are having difficulty making the payment on
time we recommend that they arrange a meeting with the manager as soon as
Where there is no explanation for repeated late payment, the manager will
contact the parents or carers to discuss payment options. The manager may
issue a formal warning to the parent or carer informing them that continued
late payment may result in their child’s place at the Club being withdrawn.
If the fees remain unpaid after all the above options have been explored, the
Club will send a final formal warning stating that if payment it not received
within seven days of this letter, the child’s place will be cancelled and we will
begin proceedings in the small claims court. The cost of this process will
additionally be added to the outstanding debt.
Settling In Policy
When children first join Astbury Merekats they will be allowed to settle in at
their own pace.
We encourage parents or carers to visit the premises with their children
shortly before they are due to start, especially children who are not familiar
with the school. This gives the children the opportunity to look around the Club
